Job Title: Client Accounts Assistant
Job Responsibilities:
The Client Accounts Assistant at the law firm is responsible for providing essential support to the Client Accounts team. Key duties include:
- Responding to routine inquiries from both internal and external clients regarding account matters via telephone and email.
- Managing the Billing Hotline and Finance Help Desk.
- Conferencing with lawyers and legal staff concerning client financial data requests when necessary and recording these requests accurately and timely in ticketing software.
- Monitoring assigned Help Desk tickets consistently.
- Offering analysis of common request trends to management.
- Performing special projects, research, and support services as requested, including creating ad hoc reports, retrieving document copies, and gathering accounts payable backup details.
- Tracking invoice mailings and electronic submissions, as well as processing and tracking returned mail.
- Executing tasks such as time sheet corrections, retrieval/copy of requested documents, mailing statements of account, and running various standard statistical reports using Elite 3E and other tools.
- Ensuring presence at work during regularly scheduled working hours and as needed, consistent with the law firm's attendance expectations.
Specific Skills Required:
- Effective communication skills, both orally and in writing.
- Strong attention to detail, organizational skills, and the ability to multi-task effectively.
- Judgement and discretion in handling tasks.
- Ability to perform well under pressure with a heavy volume of requests and to execute assignments with moderate direction.
- Quick calculation skills for figures and amounts such as percentage changes.
- Basic reconciliation skills.
- Ability to type accurately at 40-wpm and use a ten-key calculator by touch.
- Ability to work well in a team environment and establish effective working relationships with all levels of firm personnel.
- Working knowledge of MS Office applications, specifically Excel and Word.
Specific Skills Preferred:
- Basic knowledge of standard databases and/or specialized accounting software packages, with Elite Enterprise or 3E software experience preferred.
- Basic knowledge of accounts receivable procedures.
Education and Experience:
The position requires a 2-year degree and 2-3 years of related experience, including billing and/or accounting experience in a professional services firm, or an equivalent combination of experience and education.
Salary Information:
The position offers a Washington state compensation range of $54,580 to $70,250 annually. The actual compensation may vary depending on experience, skills, market conditions, and internal equity. The position is also eligible for an annual discretionary bonus, 401(k) plan, medical, dental, and vision insurance, accrued paid time off starting at 20 days annually, personal medical and parental leave, up to 10 paid holidays, and family care benefits.
