Legal Assistant/Paralegal The candidate will prepare rough drafts of memoranda and correspondence as directed by attorney(s). Draft, edit, proofread, redline (mark reflecting revisions) and finalize legal documents, including, but not limited to, business contracts, real estate documents, estate planning documents, technical and general correspondence, as directed by the attorney(s) you are assigned. Follow-up, to ensure clients are provided copies of all correspondence and legal instruments and correspondence prepared on their behalf, unless otherwise directed by the attorney(s) you are assigned. Interact with and assist clients, personally, via telephone, fax or email in a professional manner as requested by your assigned attorney(s). Maintain client files, organizational files and firms records. Prepare new Client/Matter sheets when new files are opened. Accurately and physically maintain file location on appropriate shelves and cabinets and electronically on database in accordance with Firm's file location database. Maintain calendars to ensure deadlines are met and required follow-ups are accomplished in a timely manner in accordance with the established policies and procedures of your assigned attorney(s) or department. Coordinate and schedule conferences as directed. Make appropriate arrangements with the Support Services Department for hospitality set-up and/or meals, if for larger conferences. Post and file daily time tickets and cooperate fully with accounting department to comply with all deadlines set forth for timely billing procedures. Prepare appropriate check requests and/or check request forms at the direction of your assigned attorney(s). Consult reference sources to obtain information as required by attorney(s). Stay current with new court processes (. e-filing) and learn to perform/adapt to those new processes. Through Firm training, be proficient in the use of a variety of office equipment [computer, multi-line telephone, fax, transcription equipment, scanner, copiers, binding equipment, etc.]. Exhibit regular and consistent attendance Perform other duties as required or assigned. Educated in superior business grammar, spelling, punctuation, proofreading and editing ability is required. Proficient in computer usage in general and specialized software areas such as Word, Excel, ProLaw, Outlook, Windows and miscellaneous other software programs utilized by the Firm.
