Job Title: E-Billing Specialist
Job Responsibilities:
The E-Billing Specialist is a vital role within the Accounting Department at the law firm. The primary responsibility is to manage and process client bills through electronic billing systems. This includes submitting invoices, documenting progress within tools like eHub and eBilling Tracker, and ensuring adherence to firm and client billing guidelines and policies. Key responsibilities include:
- Submitting invoices through the e-billing system and tracking progress.
- Reviewing newly opened client matters for attorneys to determine availability on e-billing websites.
- Monitoring e-billing daily for new invoices and handling rejections.
- Assisting attorneys, Client Service Specialists, and clients with e-billing inquiries.
- Verifying client setup, rates, and billing requirements in the eBilling system.
- Submitting rate requests to vendor sites as needed.
- Providing updates on invoice status to the Client Billing Manager and Billing Supervisors/Director of Billing.
- Ensuring successful submissions of e-billed clients and resolving any rejections.
- Submitting monthly/quarterly accruals as required.
- Collaborating with supervisors and managers to resolve e-billing issues.
Additional responsibilities include participating in other accounting duties and special projects as assigned.
Education and Experience Information:
Education:
- A Bachelor's degree in Accounting, Financial Analysis, Management, or a related field is preferred.
- A high school diploma or equivalent is required.
Experience:
- A minimum of five years of e-billing experience in a law firm or other professional services organization is required.
- Previous experience with accounting systems such as 3E or Elite is strongly preferred.
Knowledge, Skills, and Abilities:
- Proficiency in utilizing vendor websites and systems like BillBlast for electronic billing.
- Excellent customer service skills, with the ability to communicate professionally and courteously with clients, attorneys, paralegals, and staff.
- Strong organizational skills, detail-oriented, and reliable.
- Ability to multitask, prioritize, and work independently or as part of a team in a fast-paced environment.
- Proactive approach, with strong oral and written communication skills.
- Demonstrated experience using related accounting computer systems and Microsoft Office Suite, including Outlook, Word, and Excel.
Work Environment and Physical Demands:
The E-Billing Specialist works in a clerical, office setting, utilizing standard office equipment such as computers, phones, and photocopiers. The role primarily involves sedentary work, with physical exertion required to lift or move objects up to 10 pounds. The job involves sitting most of the time, with occasional walking and standing necessary to fulfill job duties. Close visual acuity is required for tasks such as data preparation, analysis, transcribing, and viewing a computer terminal.
