Job Title Senior Travel & Entertainment Expense Coordinator Job Responsibilities The Senior Travel & Entertainment Expense Coordinator is tasked with the management and oversight of the employee expense reimbursement process, ensuring that all procedures are in alignment with company policy. Key responsibilities include: - Reviewing travel and entertainment (T&E) expenses to ensure they are supported by appropriate documentation and reporting. - Ensuring the accurate and timely processing of all submitted expense reports, adhering strictly to firm policies. - Verifying and adjusting the coding of both billable and non-billable expenses as necessary. - Reviewing all transactions to confirm they have received the proper approvals as outlined in the firm's Grants of Authorities. - Providing final approval for Chrome River expense reports that are designated for export and processing Chrome River export files, making corrections when necessary. - Batching and entering approved, coded, and supported expense reports into the financial system. - Creating files for upload to payroll for the reimbursement of out-of-pocket expenses. - Offering user support for the Chrome River application. - Monitoring American Express accounts and following up with cardholders regarding outstanding charges. - Reviewing and preparing the monthly American Express file for electronic payment. - Resolving escalated employee inquiries professionally and efficiently. - Performing other duties as assigned by management. Education and Experience Education Required: - Associate’s degree or completion of 2 years of college courses. Preferred: - Bachelor’s degree in Accounting, Finance, Business Administration, or a related field. Skills and Experience Required: - 4 to 6 years of accounts payable (A/P) or related experience. - A strong understanding of expense reimbursement processes. - Excellent analytical, problem-solving, and organizational skills. - Ability to effectively present information both verbally and in writing. - Proficiency in Microsoft Excel and Word. - Strong interpersonal and communication skills. - Capability to organize, prioritize, plan, and multitask work activities, with the ability to meet deadlines in a high-pressure environment. - Ability to lead and motivate a team in a fast-paced, detail-oriented environment. Preferred: - Experience in A/P and/or T&E within a law firm. - Knowledge of electronic expense reporting systems and the Elite financial system. Salary Information For candidates located in New York, the estimated base salary range for this position is between $80,000 and $95,000 at the time of posting. The actual salary offered will depend on various factors, including but not limited to the applicant's qualifications, years of relevant experience, level of education attained, any certifications or professional licenses held, and the location from which they will be performing the job. This role is classified as non-exempt, meaning it is eligible for overtime pay.
