Job Title: Executive Assistant to the CIO
Job Responsibilities:
- Work directly with the Chief Information Officer (CIO) to support all aspects of his daily work routine, including managing emails, calendars, travel, and meeting logistics.
- Manage and prioritize the CIO’s schedule to ensure efficient use of time and proactive planning.
- Serve as a liaison between the CIO and internal/external contacts, including clients, staff, vendors, and leadership teams, ensuring smooth communication and coordination.
- Handle incoming calls and messages with professionalism and discretion, directing communications appropriately.
- Support ongoing projects managed by the IT department through coordination, communication, and follow-up to ensure project success.
- Prepare agendas, presentations, white papers, and supporting documents for internal and external meetings to facilitate effective communication and decision-making.
- Attend meetings, take notes, and draft minutes or summaries as needed to ensure accurate record-keeping.
- Maintain confidential and sensitive information with discretion and professionalism to uphold the integrity of the department.
- Manage routine office duties, including printing, filing, mail distribution, document preparation, and record-keeping to support daily operations.
- Track and reconcile expense receipts using the law firm’s accounting platform to ensure accurate financial records.
- Assist with departmental coordination and firm-wide collaboration when necessary to support the overall objectives of the law firm.
- Provide backup or assistance to other departments or executives as requested to ensure seamless operations across the firm.
Education and Experience Information:
- Proven experience supporting executives, preferably in a legal, tech, or corporate environment, demonstrating the ability to manage high-level administrative tasks.
- Strong organizational and time management skills, with the ability to juggle multiple priorities effectively.
- Excellent written and verbal communication skills to facilitate clear and efficient communication.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with project management tools is a plus.
- High level of discretion and ability to handle confidential information to maintain the integrity of sensitive data.
- A proactive mindset with the ability to anticipate needs, solve problems, and keep things running smoothly.
- Positive, team-oriented attitude with a strong sense of ownership and accountability to contribute to a collaborative work environment.
