Job Title: Billing Coordinator
Job Responsibilities:
The Billing Coordinator is responsible for managing financial transactions and ensuring accurate billing processes within the law firm. Key responsibilities include:
- Owning the full billing portfolio and managing all aspects of the billing cycle.
- Generating, reviewing, and preparing accurate and detailed invoices for legal services rendered, ensuring compliance with client billing guidelines and firm policies.
- Implementing and managing complex billing arrangements to accommodate various client needs.
- Setting up and maintaining e-billing platforms, ensuring seamless integration and functionality.
- Identifying and resolving billing discrepancies by investigating issues and collaborating with internal teams.
- Communicating with clients and attorneys to address billing inquiries and ensure timely payments.
- Reconciling client accounts to maintain accuracy in financial records.
- Preparing and analyzing billing reports for internal stakeholders and clients, identifying trends and areas for process improvement.
- Maintaining billing records and ensuring compliance with firm policies and industry standards.
- Supporting the billing team in improving workflows and optimizing efficiency.
- Handling confidential client data securely and maintaining high ethical standards.
Education and Experience Information:
The ideal candidate for the Billing Coordinator position should have the following qualifications:
- A Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- 7+ years of legal billing experience across multiple practice areas.
- Experience with e-billing platforms and legal billing systems is required.
- A deep understanding of complex billing rules, outside client guidelines (OCGs), and legal industry best practices.
- Strong proficiency in billing, reconciliation, and financial reporting processes.
- Proficiency in Aderant Billing Software (preferred), with advanced proficiency in Microsoft Excel and MS Word.
- Familiarity with matter management systems.
- Experience in data entry is required.
- Exceptional attention to detail and the ability to manage complex billing data.
- Strong problem-solving and analytical skills to improve billing accuracy and efficiency.
- Excellent communication and interpersonal skills for client and team collaboration.
- The ability to work independently in a fast-paced environment while managing multiple deadlines. Strong time management skills are essential.
Salary Information:
The law firm provides a generous total compensation package, which includes comprehensive health and well-being benefits, as well as 401k and profit sharing. The anticipated annual pay range for this role is $75,000 to $80,000 (non-exempt). The actual offered pay rate will be determined based on various factors, including qualifications, experience, geographic location, education, external market data, and internal equity considerations.
