Job Title: Executive Assistant
Job Responsibilities:
The Executive Assistant will play a crucial role in supporting the Managing Attorney by ensuring the smooth operation of daily administrative tasks, overseeing scheduling, coordinating travel, managing systems, and acting as a liaison between internal teams and external partners. Key responsibilities include:
- Strategically managing the Managing Attorney's calendar, meetings, and travel logistics, including speaking engagements and last-minute changes.
- Keeping the Managing Attorney informed and aligned with company-wide initiatives and day-to-day operations.
- Preparing reports, presentations, and documents for internal and external use.
- Handling sensitive and confidential information with discretion.
- Maintaining an organized and efficient executive office.
In addition, the Executive Assistant will assist with events, conferences, and partnerships by:
- Assisting with pre-event logistics and in-person support for the Managing Attorney's conference presence, sponsorships, and key industry partnerships.
- Assisting with internal event planning, including the annual company gathering, ensuring a seamless experience within budget.
Process management responsibilities include:
- Maintaining and updating the company’s CRM and CMS systems to track leads and client interactions.
- Engaging with new and existing clients as the client relationship liaison to enhance the client experience.
- Supporting recruiting and onboarding processes for key roles.
- Assisting with presentation and graphic design support for PowerPoint decks and internal documentation.
- Acting as a trusted advisor to the Managing Attorney and anticipating issues before they arise.
Education and Experience Information:
The ideal candidate for the Executive Assistant position should possess the following qualifications and experience:
- Experience in executive support, project management, or a related field.
- Proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel, PowerPoint), Lawmatics, Action Step, and Egnyte.
- Strong organizational, communication, and multitasking skills.
- Ability to problem-solve, anticipate needs, and work independently.
- High adaptability and resilience in an ever-changing environment with shifting priorities.
- Strong relationship management skills and high emotional intelligence.
- A proactive approach with the ability to take initiative and bring fresh ideas to improve efficiency and workflow.
Salary Information:
The compensation for the Executive Assistant position ranges from $65,000 to $80,000 per year.
