Job Title: Information Governance Analyst
Job Responsibilities:
The Information Governance Analyst at the law firm is tasked with coordinating the primary functions of information governance under the supervision of the Manager of Practice Services – Records. Key responsibilities include managing the lifecycle of records, both physical and electronic, overseeing records retention and disposition, and handling matter mobility, which includes file intake and file releases. The role involves managing data access requests and maintaining data integrity while monitoring usage. The analyst will assist in the administration of information governance-related software, contribute to major project planning and execution, and support continuous improvement of information governance processes across the firm. Essential duties also encompass organizing and executing file intakes, releases, destructions, legal holds, and data access procedures, coordinating matter mobility during attorney onboarding and offboarding, and collaborating with attorneys and external parties to ensure smooth data transitions. The analyst will oversee annual records retention and disposition with the Manager of Practice Services - Records, execute electronic data disposition, and track hardcopy data destruction. Maintaining and administering the firm's records management and information governance software, identifying opportunities for improvement in procedures, functionality, and software integration, and processing requests for electronic data are also part of the job. The analyst will maintain department repositories, shared drives, and document management system structures, provide guidance on electronic workspace and matter file management, and contribute to enhancements in processes, procedures, and technology to improve efficiency and reduce risk. Developing information sharing standards, guidelines, and collaborative space configurations, addressing high-priority access requests, and performing other duties and projects as assigned in support of departmental and firm-wide goals are also included in the responsibilities.
Education and Experience Information:
Candidates for the Information Governance Analyst position are required to possess a Bachelor’s degree. Additionally, a minimum of five years of relevant experience is necessary. Prior experience in a law firm or legal services environment with responsibilities related to data governance or records compliance is preferred.
Qualifications:
The candidate should have a deep knowledge of information governance principles, data privacy, and security best practices. Strong verbal and written communication skills are essential. The ability to manage physical and electronic information resources effectively is required, along with proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with cloud platforms and generative AI tools. Experience with records management systems (., FileTrail, iRM) and ticketing tools (., FreshService, BigHand) is necessary. Proficiency with document management systems such as NetDocuments or iManage is required, and familiarity with project management tools like Smartsheet is preferred. Understanding file staging and transferring platforms is crucial. The candidate should demonstrate the ability to manage competing projects individually and as part of a team while prioritizing work based on department needs, user needs, and ticket due dates. Strong business analysis, attention to detail, troubleshooting, problem-solving, quality assurance, and project management skills are required. The ability to collaborate with stakeholders at all levels of the organization is necessary. Experience with intake/conflict systems (., Intapp security products) is preferred, and familiarity with financial/accounting systems (., Aderant) is preferred.
Salary Information:
The law firm offers a competitive compensation and benefits package for the Information Governance Analyst position. The anticipated base salary range for this full-time role is $75,000 to $105,000 per year. The actual salary will depend on several factors, including relevant experience, job-related skills, qualifications, and location.
