Legal Secretary Duties: Field attorneys external calls and route appropriately. Maintain calendars and schedules for assigned attorneys. Prepare and edit documents, such as letters, memos, and emails to clients, firm members, governments, courts, and opposing parties. Assist attorneys with incoming mails, outgoing mails, email management, and office organization, as required. E-file with appropriate state agencies and courts. Prepare engagement letters. Maintain, file, and organize client files in the firm's case management system. Provide vacation/absence coverage for other team members as needed. Order meals, make copies, scan files, make reservations, travel arrangements, and other administrative tasks. Follow the firm's compliance policies and procedures. Communicate with the team diligently for internal inquiries. Share the firm's value, take ownership and accountability in delivering the highest quality of legal services to our clients. Attend the firm's scheduled meetings and training.
Qualifications: Associate or Bachelor's degree with 3+ years of experience in a similar position, preferring 1-3 years of experience in a law firm environment. Strong time management and prioritization skills. Strong organizational skills. Excellent interpersonal skills with both internal and external clients. Team player attitude. Demonstrate a high level of ethical conduct and ability to maintain the confidentiality of sensitive client and firm information. Strong communication skills - on the phone, via email, and in person. Strong desire to advance and grow professionally within the firm. Fully committed to full-time availability. Decent typing speed (60+ wpm). Common requirements to all positions in the firm as above. Tech-savvy with proficiency in using Office 365, Adobe Reader, and SharePoint. Highly organized and detailed oriented. Capable to work well under pressure. Capable to understand the importance of case timelines and deadlines. Professional and courteous with a positive attitude. Self-starters and quicker learners with impeccable ethics. Accountable to cases and tasks assigned.
