Job Title: Legal Secretary HCPB - Hybrid Remote
Job Responsibilities:
A Legal Secretary at the organization is responsible for providing comprehensive support to multiple full-time staff attorneys within the Housing, Consumer & Public Benefits Unit. The role encompasses a variety of tasks designed to facilitate the efficient operation of legal services provided to low-income clients. Key responsibilities include:
- Offering general secretarial support, which involves preparing legal documents and correspondence through typing and transcribing, as well as accurately proofreading correspondence, pleadings, and reports in both draft and final forms.
- Ensuring compliance with the Legal Services Corporation Act and regulations, as well as adhering to the organization's policies and procedures.
- Proficiently and accurately using MS Word processing software, databases, and the organization's electronic case management system.
- Managing filing, copying, mail distribution, answering telephones, and maintaining legal files and client records, including tickler systems, calendaring, and time-keeping systems.
- Filing legal papers and pleadings at the courthouse or through e-filing, setting hearing dates, and interacting with court staff, opposing parties, and clients.
- Conducting client interviews by phone and in person, and providing back-up for other support personnel as needed, including handling office mail, telephone duties, and other legal assistance requests.
- Translating for clients who speak a different language than their advocate (if applicable).
- Monitoring and accurately maintaining case status through the electronic case management system.
- Maintaining phone logs, visitor logs, and intake schedules as required.
- Upholding confidentiality and professionalism toward clients, visitors, and other employees at all times.
- Performing any other duties assigned by the Managing Attorney, Deputy Director, and Chief Executive Officer.
Education and Experience Information:
- A high school diploma, GED, or equivalent is required.
- Fluency in Spanish, both verbal and written, is required.
- Prior law office experience in a secretarial support capacity is preferred.
- Experience in bankruptcy and/or tax law is preferred.
- Candidates must demonstrate the ability to communicate and interact in a professional and courteous manner with a diverse population, including office personnel, applicants/clients, vendors, and other professional contacts.
- The candidate must be detail-oriented, efficient, organized, and self-motivated, with the ability to establish priorities and meet deadlines.
- Excellent communication skills, both verbal and written, are essential.
- Proficiency in computer skills, particularly with Microsoft products, is preferred.
- The ability to work independently and exercise good judgment and discretion in all duties is necessary.
- The role requires the ability to engage in occasional work-related travel and an excellent attendance record.
Salary Information:
The current entry-level salary for this position is $35,640 per year. However, the salary for the successful applicant may be significantly higher, based on the applicant’s years of experience.
