Job Title: Billing Specialist
Job Responsibilities:
The Billing Specialist is tasked with managing client invoice billing according to client specifications. This role involves a variety of daily tasks related to billing, including the preparation and revision of prebills or final bills for attorney review. Key responsibilities include:
- Editing prebills to execute time and disbursement transfers, time splits, on-account transfers, as well as time and disbursement adjustments.
- Printing, sorting, and distributing prebills to billing attorneys, and providing drafts or final versions of invoices for further attorney review.
- Ensuring client billing addresses are accurate and up-to-date.
- Entering necessary billing exemptions by the billing cutoff date and maintaining status through month-end.
- Overseeing multiple levels of approval for write-offs and monthly billing exemptions.
- Accurately entering alternate rates into the computer system.
- Supplying attorneys and legal support staff with requested billing statistics, utilizing and formatting Excel spreadsheets as needed.
- Managing effective communication with attorneys to ensure billing deadlines are met.
- Submitting, processing, and tracking invoices and resolving billing issues through electronic and web-based billing systems.
- Participating in monthly meetings with the billing manager to provide updates on timekeepers’ Work in Progress and to address any issues.
- Responding to internal and external client inquiries promptly and seeking feedback or follow-up as appropriate.
Knowledge, Skills, and Abilities:
- Clear written and oral communication skills for interacting with professionals within the law firm and clients regarding billing matters.
- Exceptional customer/client service and interpersonal skills.
- Professional and positive representation of the department.
- Proficiency in Microsoft Word and Excel.
- Capacity to work under pressure and manage multiple priorities.
- Ability to produce high-volume, computerized document edits in a fast-paced, deadline-driven environment.
- Capability to work independently and collaboratively to ensure consistent and efficient workflow processes.
- Strong interpersonal skills for providing high-quality service and effective partnerships with diverse groups within and outside the law firm.
- Self-management skills and the ability to work independently in both hybrid and in-office settings.
Education and Experience:
- A college degree is preferred; however, any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential duties of the position will be considered.
- A minimum of three years of experience in law firm billing is required.
- Previous experience with Aderant/CMS is strongly preferred.
Salary Information:
Compensation for the Billing Specialist position is influenced by various factors including the position itself, location, education, training, and/or experience. The hiring salary range for this position is between $50, and $70,.
