Job Title: Legal Practice Specialist - Litigation
Job Responsibilities:
The Legal Practice Specialist is tasked with providing a variety of administrative support services to attorneys within the Litigation Practice Group. Key responsibilities include:
- Understanding court rules and civil procedures in Delaware State and Federal jurisdictions, with experience in electronic filing using File & ServeXpress and PACER/CM/ECF.
- Assisting in all aspects of trial preparation, including handling logistics and providing support during trials when necessary.
- Conducting internet research using Lexis and Westlaw, which includes obtaining court dockets from PACER, court/agency websites, or other research tools.
- Assembling binders for court/agency filings, services, and client files, ensuring all attachments are included.
- Managing the intake process, starting from conflicts check to the creation of the client/matter number.
- Preparing subpoenas, court scheduling stipulations, motions, and brief templates.
- Editing, proofreading, and redlining documents such as agreements, pleadings, spreadsheets, presentations, and correspondence to ensure accuracy, grammar, and proper formatting.
- Reviewing and editing prebills, collaborating with the billing practice group to ensure timely client billing, and preparing expense reports and vendor invoices for prompt payment.
- Organizing and maintaining attorney contacts and calendars, including arranging travel logistics and scheduling flights, hotels, and transportation.
- Inputting, reviewing, editing, and updating attorney time entries.
- Coordinating meeting logistics, which involves scheduling, arranging videoconferences, conference calls, and reserving conference rooms, as well as requesting equipment, food, and beverages, preparing presentation materials, and welcoming visitors.
- Answering incoming telephone calls, documenting, and relaying messages.
- Organizing and maintaining paper and electronic files in compliance with firm records retention policies.
- Proactively reminding attorneys of impending deadlines and obligations.
Education and Experience Information:
- A is required.
- At least one (1) year of litigation experience is necessary.
- Familiarity with Delaware court rules and civil procedures in state and federal jurisdictions, including electronic filing experience with File & ServeXpress and PACER.
- Knowledge of trial procedures, managing databases, filing in various jurisdictions, and other aspects of trial preparation.
- Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word.
- Strong written and verbal communication skills, with a professional demeanor and presentation.
- Strong client service skills with high standards of excellence in work product to meet or exceed client and firm expectations.
- Strong organizational skills, time management skills, and attention to detail.
- Ability to work under tight deadlines and prioritize responsibilities.
- Strong problem-solving skills with the ability to take initiative, use good judgment, and excellent follow-up skills.
- Ability to maintain and handle confidential and sensitive information with discretion and diplomacy.
