Job Title: Billing Specialist
Job Responsibilities:
The Billing Specialist at the law firm is tasked with managing the billing of client invoices in the specific formats required by clients. Key responsibilities include handling daily billing tasks such as editing prebills for time and disbursement transfers, time splits, on-account transfers, and adjustments. The specialist also prints, sorts, and distributes prebills to billing attorneys and manages client billing addresses to ensure they are accurate and up-to-date. They are responsible for entering any necessary billing exemptions by the billing cutoff date and maintaining this status through month-end. The role requires monitoring and managing several levels of approvals for write-offs and monthly billing exemptions, entering alternate rates accurately in the computer system, and providing attorneys and legal support staff with requested billing statistics, using and formatting Excel spreadsheets as needed. The specialist must manage communication with attorneys to ensure billing deadlines are met, submit, process and track invoices, resolve billing issues via electronic and web-based billing, and effectively communicate during monthly check-in meetings with the billing manager to provide updates on the status of timekeepers’ Work in Progress and troubleshoot if necessary. Additionally, they must identify and respond to internal and external client inquiries promptly and seek feedback or follow-up as appropriate.
Education and Experience:
A college degree is preferred for the position of Billing Specialist; however, any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential duties of the position is acceptable. A minimum of three years of law firm billing experience is required, and previous experience with Aderant/CMS is strongly preferred.
Knowledge, Skills, and Abilities:
The Billing Specialist must possess the ability to clearly communicate in both written and oral forms with professionals within the firm and with clients regarding billing issues. Outstanding customer/client service and interpersonal skills are essential, along with the ability to represent the department professionally and positively. Proficiency in Microsoft Word and Excel is necessary. The role requires the ability to work under pressure and balance multiple competing priorities while producing high-volume, computerized document edits in a fast-paced, deadline-driven environment. The candidate must be able to work effectively both independently and with teams to promote consistent and efficient workflow processes. Strong interpersonal skills are needed to provide high-quality service and partner effectively with diverse groups of people at various levels within the firm as well as external contacts. The ability to self-manage and work independently in a hybrid and in-office setting is also required.
Salary Information:
Compensation for the Billing Specialist position is dependent on several factors, such as position, location, education, training, and/or experience. The hiring salary range is between $50, and $70,.
