Law Firm Seeking Experienced Litigation Client Service Specialist Job Title: Litigation Client Service Specialist Job Category: Legal Administrative Assistant Experience: Minimum of 5 years at a law firm or legal department Responsibilities: - Provide exceptional client service by answering calls, screening inquiries, and assisting clients as needed - Work closely with attorneys and clients to ensure smooth communication and transfer of information - Manage client data to improve interactions and overall approach to dedicated cases - Prioritize and manage workflow of assigned tasks and projects, coordinating with other support services to meet deadlines - Knowledge of federal and state court rules, including document preparation and electronic filing - Maintain attorney calendars, assist with meeting deadlines, and coordinate travel arrangements - Prepare legal documents, memoranda, and correspondence with accuracy and attention to detail - Provide primary support for multiple attorneys and assist with additional support and coverage as needed - Transmit legal documents to clients, witnesses, and court officials through various methods - Process new business requests, open new matters, and maintain client case files using appropriate software - Calendar critical deadlines and ensure accurate calculations - Assist with client billing using specialized software and procedures Collaboration and Teamwork: - Work proactively with Legal Team Assistants to complete tasks - Collaborate with resources, including the Attorney Resource Center, to complete projects and tasks - Adhere to all firm policies, procedures, and guidelines while maintaining confidentiality Qualifications: - Associate's degree preferred, Bachelor's degree a plus - Minimum of 5 years of experience at a law firm or legal department - Ability to effectively gather and summarize data, find solutions to administrative problems, and prioritize work - Excellent verbal and written communication skills - Professional demeanor and appearance, with poise, tact, and diplomacy - High level of confidentiality and outstanding customer service skills - Proficiency in legal terminology and experience in related practice areas - Experience with court and administrative filings and deadlines - Proficiency using office equipment, including computers, telephones, and transcription equipment - Typing speed of 60 wpm or higher - Working knowledge of MS Office Suite, including Outlook, Word, Excel, and PowerPoint Work Environment and Physical Demands: - This job operates in a clerical, office setting - Medium work: Exertion of physical strength to lift, carry, push, pull, or move objects weighing 20-50 pounds frequently, and up to 10 pounds occasionally - Visual acuity required for tasks such as analyzing data, transcribing, and viewing a computer terminal Disclaimer: - This job description is not a contract or employment agreement and may be revised at any time - Employment with the firm is at-will and employees must be able to perform all essential functions of the position with or without reasonable accommodation - Equal Opportunity Employer - vets, disability Law Firm is an Equal Opportunity Employer/Protected Veterans/Individuals with Disabilities.
