## Financial and Real Estate Legal Assistant Job Opportunity with Armstrong Teasdale LLP Armstrong Teasdale LLP is looking for a Financial and Real Estate Legal Assistant to join their team. This role is an excellent opportunity for someone with 3-5 years of legal office experience to take on a position with a respected law firm. This individual will provide complex administrative support to all finance, bankruptcy and real estate timekeepers. The candidate must also be able to work with timekeepers, the billing department and clients to address billing issues and questions. **Essential Functions:** - May be responsible for extensive review and edit of prebills/invoices for finalization and submission to the clients, courts, trustees or others, along with a finalized Armstrong Teasdale fee application, where applicable - Work with team in the preparation of correspondence and documents utilizing knowledge of financial, real estate and transactional procedures - Execute electronic court filings and download court pleadings - Act as liaison between attorneys and paralegals with regard to managing and prioritizing client dockets, calendars, workload and deadlines - Give instruction to others, based on knowledge of Practice Group policies and procedures - Independently corresponds with clients and court clerks - Review and proofread all documents and correspondence produced, check for proper formatting, spelling and grammatical errors, as well as ensuring that all signature pages, attachments, exhibits or enclosures are accurate and complete before distribution - Draft responses to audit letter requests on behalf of firm clients and obtain and provide information to accountants - Maintain client files (both paper and electronic), organize and file documents in designated order, and complete electronic scanning - Conduct accounting tasks, including processing expenses, reimbursements, invoices, pre-bills, and entering time into the Firm’s time and billing system, reviewing of billing statements, and editing same for preparation of final billing - Perform conflict checks, draft engagement letters in connection with file opening, and complete the file opening process - Perform digital transcription tasks - Coordinate and make travel arrangements - Effectively track and manage CLE reporting **Competencies:** - Decision Making – Identifies issues and provides suggestions to day-to-day problems; prioritizes and effectively completes daily tasks - Communication – Shares information by using data and information to support an argument or point of view; keeps team informed about progress and problems; avoids surprises; and understands the appropriate level of confidentiality required - Leadership – Gives positive and constructive feedback to peers; trains new employees; finds solutions to a problem; works autonomously; and is motivated to anticipate future business needs - Continuous Learning – Identifies self-training needs and opportunities; positively accepts changes - Teamwork – Actively participates in the team and can provide feedback and solutions; listens and responds constructively to others' concerns - Alignment to Values - Consistently demonstrates the Firm's values and offers constructive feedback to team members regarding the values; strives to learn more and participate in diversity and inclusion efforts; demonstrates respect by understanding and providing support **Requirements:** - - 3-5 years of legal office experience - Preference given to those with 3-5 years of Financial & Real Estate legal office experience **Physical Activity:** The employee will be required to sit for prolonged periods and work on a computer. **Travel Required:** N/A **Other Duties:** Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required of the employee for this job. **EEO Statement:** Armstrong Teasdale is an equal opportunity employer and will make all employment decisions without regard to race, color, religion, national origin, ancestry, age, sex, pregnancy, marital status, sexual orientation, gender identity, citizenship status, disability, veteran status or other protected status, in accordance with federal, state and local laws.
