Job Title - Litigation Legal Secretary Experience Information - At least three years of litigation experience in a mid- to large-sized law firm. - Familiarity with court filing requirements and experience with state and federal filings. - Working knowledge of general office procedures and legal terminology. - Prior experience with legal technology and applications, including Interaction or other client relationship management databases. - Prior experience supporting multiple attorneys. Department - Legal Secretary Responsibilities - Perform secretarial and administrative duties for attorneys under minimal supervision. - Process new client/matter requests, client bills, time reports, and expense reports. - Word processing of drafts, revisions, and final documents for client-related matters. - Handle court filings, including e-filing, under supervision of attorneys. - Calendar deadlines associated with federal and state rules of procedure. - Maintain physical and electronic files, contacts, and dockets of cases for attorneys. - Communicate with clients and opposing counsel as instructed by supervising attorneys. - Coordinate travel arrangements and meetings/appointments for attorneys. - Answer attorneys' phones and take messages. - Take dictation and transcribe documents. - Handle incoming and outgoing mail. - Provide secretarial assistance to summer associates, visiting attorneys, and absent attorneys. - Occasionally coordinate couriers to deliver or collect documents for attorneys. - Occasionally accompany attorney to court to assist in handling materials and preparing documents. - Other related duties as needed or assigned. Reporting Relationship - Reports directly to the Office Administrator and indirectly to assigned attorneys. Qualifications - Must have at least three years of litigation experience in a mid- to large-sized law firm. - Familiarity with court filing requirements and experience with state and federal filings. - Working knowledge of general office procedures and legal terminology. - Prior experience with legal technology and applications, including Interaction or other client relationship management databases. - Prior experience supporting multiple attorneys. - Advanced word processing and computer skills utilizing various software programs. - Excellent written and verbal communication skills. - Strong phone etiquette, attention to detail, and follow-through skills. - Knowledge of legal filing and record-keeping practices. - Highly organized and able to multi-task and meet deadlines. - Strong customer service and ability to work effectively as part of a team. Education - High school diploma or equivalent required. - Two years of college or equivalent preferred. Physical Demands and Working Conditions - Must be able to move around the office up to 15% of the time to make copies, fax, file, etc. - Remains stationary at least 85% of the time. - Operates computers and other office productivity machines regularly. - Occasionally required to move documents or files weighing up to 15 lbs. - Constant communication and exchange of information with attorneys, clients, and staff. - Must be able to inspect and observe information on a computer screen at least 80% of the time. - Office environment with required overtime.
