Law Firm Seeking Experienced Lateral File Intake/Transfer Manager Department: Administration Law Firm Location(s): Atlanta, GA, Charleston, SC, Charlotte, NC, Columbia, SC, Greensboro, NC, Greenville, SC, Raleigh, NC, RTP, NC, Winston-Salem, NC Salary Type: Exempt Are you a highly organized and detail-oriented individual with knowledge of IP laws and regulations? Do you have experience managing file intake and transfers? If so, Womble Bond Dickinson (US) LLP is seeking a skilled Lateral File Intake/Transfer Manager to join our team. This role will involve managing the intake of all incoming files and information, as well as overseeing the transfer out of files when an attorney departs or a client requests their files be moved. This is a crucial role within our firm and requires strong communication skills, the ability to work with multiple teams, and a high level of attention to detail. Responsibilities: - Manage the entire process of file intake and transfer out, from start to finish - Collaborate with various teams to facilitate the intake and transfer out of files - Ensure all conflicts have been run and cleared, priority matters identified, and engagement letters drafted - Utilize Pending Portable Matters chart to organize and enter information into appropriate systems and databases - Coordinate with Billing team on client billing rates and project billing - Receive, log, and track incoming files and docketing information for all practice groups - Work with IP Docketing team to manage workflow, prioritize tasks, and ensure deadlines are met - Maintain accurate records of all incoming files, including status and notes - Assist with preparation of reports and statistics related to file intake - Create client matter number matrix to match files from old firm to new firm - Ensure files are transferred out of the firm in accordance with File Transfer Procedures - Assist with drafting client transfer letters and tracking responses when attorneys depart from the firm - Work with IT personnel during transfer process to ensure all information is transferred accurately Requirements: - Bachelor's degree in business administration, paralegal studies, or equivalent experience - Knowledge of IP laws, regulations, and docketing procedures - Strong attention to detail and accuracy - Ability to work independently and in a team environment - Proficient in Microsoft Office and able to learn new software quickly - Willingness to travel up to 25% of the time - Excellent written and verbal communication skills - Self-motivated and able to maintain confidentiality - Strong organizational skills and ability to manage multiple tasks and deadlines - Professional demeanor As an equal opportunity/affirmative action/pro-disabled and veteran employer, we value diversity and encourage all qualified individuals to apply for this position.
