Salary and Benefits Salary: Competitive salary and benefits package Litigation Secretary/Practice Specialist II Sheppard Mullin, a global Am Law 50 firm, is seeking a Litigation Secretary/Practice Specialist II to join their Intellectual Property Practice Group based in the Dallas office. This role requires 6+ years of large law firm experience providing litigation support and extensive knowledge of litigation (e-filings) and trial procedures, federal, state and appellate court procedures, and federal and state court rules. Primary Responsibilities and Expectations Format, input, edit, retrieve, copy, scan, and transmit legal documents Prepare pleadings and discovery documents for filing and service Schedule depositions with attorneys, clients, witnesses, and court reporters Create pleading/discovery binders, indexing and filing documents, organize and file case documents Docket/calendar court and filing deadlines Manage and plan calendar of all appointments, conferences and meetings Daily review and prioritization of client correspondence and communications Schedule conference calls and on-site/off-site meetings Prepare draft engagement and confirming letters as needed Prepare and submit new matters; change intakes for existing matters concerning adverse parties and billing contact and other information and collaborate as needed Prepare and submit preliminary conflict checks on behalf of the Partner Arrange and coordinate travel arrangements Timesheets, expense summaries, and client bills Maintain client confidence by keeping client/attorney information confidential Perform additional administrative and support tasks as requested Essential Functions of Job Extensive knowledge of litigation (e-filings) and trial procedures, and federal and state court procedures and rules Format, input, edit, retrieve, copy, scan, and transmit legal documents Prepare pleadings and discovery documents for filing and service Schedule depositions with attorneys, clients, witnesses, and court reporters Create pleading/discovery binders, indexing and filing documents, organize and file case documents NetDocs experience a plus Docket/calendar court and filing deadlines Manage and plan calendar of all appointments, conferences and meetings Daily review and prioritization of client correspondence and communications Schedule conference calls and on-site/off-site meetings Prepare draft engagement and confirming letters as needed Prepare and submit new matters; change intakes for existing matters concerning adverse parties and billing contact and other information and collaborate as needed Prepare and submit preliminary conflict checks on behalf of the Partner Arrange and coordinate travel arrangements Timesheets, expense summaries, and client bills Maintain client confidence by keeping client/attorney information confidential Perform additional administrative and support tasks as requested This position has a billable hours requirement Qualifications and Experience 6+ years of litigation experience in a law firm High School Diploma or GED Preferred: Bachelor’s Degree or Paralegal Certification Preferred: Secretarial Certification a plus; ABA approved Paralegal Certification Proficiency in Windows 10 and Microsoft, experience working with a document management system, proficient knowledge of Outlook, Excel, PowerPoint and Adobe Acrobat Ability to learn new skills and systems quickly Work Environment This position requires that you work physically in our Dallas office a minimum of 4 days per week, and working from home the rest of the week (subject to change).
