JOB TITLE: Intellectual Property Paralegal The Intellectual Property Paralegal is a full-time, non-exempt position based in our Houston, TX office. This role is responsible for providing paralegal support to multiple attorneys, keeping in compliance with statutory requirements within the prosecution side our firm-wide Intellectual Property practice group. It requires a confident and professional individual with good organizational skills and writing ability. Responsibilities The Intellectual Property Paralegal is responsible for the following: Preparing all documentation for patent and trademark applications, including Powers of Attorney, Oaths, Declarations, and specimens. E-filing patent and trademark applications with the United States Patent and Trademark Office (USPTO). Reviewing and analyzing all communications from the USPTO. Docketing all incoming and outgoing communications with the USPTO. Drafting correspondence to clients and to foreign associates. Communicating professionally, productively, and efficiently with clients, contacts, attorneys, other paralegals, all other Firm workers, and all others. Providing support to litigation attorneys with drafting, research, document review/analysis, preparing productions, preparing for hearings, depositions and trials, and live trial support. Reviewing, gathering, and organizing client documents from production to discovery. Searching the Internet and/or specific sites to gather information or documents requested by attorneys to make the attorney's job easier and more efficient. Assisting attorneys in identifying experts for use in case defense. Participating in trial preparation and mediations as needed. Researching and summarizing records, as needed, to assist in data gathering, including organizing of information in databases. Ensuring regulatory compliance: assist firm's attorneys and clients to maintain compliance with ERISA, IRS, DOL, PBGC, CMS, and other regulatory requirements. As directed or as necessary/desirable, leading or participating in meetings and phone calls using remote participation technology (such as, without limitation, Zoom, Bluejeans, et cetera). Preparing documents and docket deadlines for meetings, court filings, etc. Following-up with the attorney to ensure that deadlines are being met. Coordinating meetings, including scheduling, drafting minutes, drafting meeting agendas, and creating meeting packets. Meeting with clients and attorneys to execute documents, and working closely with clients, explaining processes to clients and assembling relevant information for attorneys. Checking citations, proofreading documents, and collecting exhibits. Performing general administrative tasks such as mailings, file retrieval, handling service payments, filing emails, etc. as needed. Preparing signature page packets, assisting with closing, and preparing closing binders. Tracking and recording time to ensure services provided are appropriately charged. Qualifications/Skills The successful candidate for the Intellectual Property Paralegal position must possess the following qualifications/skills: An undergraduate degree and/or paralegal certificate 3-5 years of experience in a law firm or in-house legal department Ability to prioritize and coordinate projects and cases for more than one attorney simultaneously Ability to cope successfully with demands from attorneys and remain calm under pressure Strong organizational, research, problem solving, and time management skills A self-starter with a willingness to work long hours when needed Ability to conduct all business in a confidential manner Advanced knowledge in Microsoft Office Suite, including Outlook, Word, PowerPoint and Excel Strong oral and written communication skills, including keyboarding Physical Requirements The successful candidate must also possess the following physical requirements: Position is generally sedentary in nature; involves sitting most of the time but may involve walking or standing for brief periods of time Ability to occasionally or routinely lift up 10 - 20 lbs.
