Job Title: Business Intake & Conflicts Specialist (Laterals) Salary: Expected hourly pay range of - Experience: 3+ years of direct applicable experience in a legal setting (. BIC department, legal secretary, paralegal, or executive assistant) Cooley Law Firm is seeking a Business Intake & Conflicts Specialist (Laterals) to join their team. This role is essential in ensuring the firm's compliance with ethical obligations, risk management policies, and ability to onboard new business in a timely manner. The ideal candidate will have strong computer skills, excellent communication skills, and the ability to work independently in a fast-paced environment. Position Summary: The Business Intake & Conflicts Specialist (Laterals) will work closely with the Associate Director of Conflicts and other team members to assist with various department initiatives. This includes conducting research, drafting policies and procedures, coordinating lateral candidate submissions, and performing operational tasks. The specialist will also serve as a flexible resource and may be cross-trained in different areas of the department. Position Responsibilities: Primary Laterals: - Review incoming conflict check submissions for attorneys, paralegals, and staff - Create lateral folders and update spreadsheets - Communicate with recruiting/HR and attorneys regarding lateral intake - Maintain cross-reference database - Run conflict reports and clear contract attorneys as needed Primary New Business: - Monitor the BIC inbox and respond to inquiries from secretaries, practice team assistants, and attorneys - Communicate with various professionals regarding new business - Run conflict reports as needed Operations: - Process and quality control assigned intake review queues to ensure accurate information - Assist with review and filing of waiver and engagement letters - Complete final party linking as assigned Other: - Provide training to new BIC hires on systems and tasks - Lead and manage system and information clean-up projects - Conduct research projects on conflicts and corporate affiliations - Assist with ethical screen database clean-up - Other duties as assigned Skills and Experience: Required: - Proficiency in Microsoft Office, iManage, and other firm applications - Availability for overtime as needed - 3+ years of direct applicable experience - Strong computer skills Preferred: - Bachelor's degree - Paralegal certificate - Previous experience in a law firm or professional services environment Competencies: - Excellent written and oral communication skills - Strong organizational skills and attention to detail - Ability to work independently with little supervision - Ability to prioritize and handle multiple tasks in a fast-paced environment - Initiative and punctuality Cooley offers a competitive compensation and benefits package, including medical, dental, vision, flexible spending accounts, life insurance, and parental leave.
