Job Title: Legal Support Specialist/Legal Assistant Experience: Prior experience in an immigration law firm setting preferred Salary: Commensurate with experience Law Firm is seeking a dedicated and detail-oriented Legal Support Specialist/Legal Assistant to support attorneys, case managers, office manager and receptionist/file clerk. The ideal candidate will have prior experience in an immigration law firm setting and be extremely detail-oriented and comfortable working in a highly regulated, time-sensitive, area of law. Responsibilities: Providing general support, assisting organize and maintain case and client management systems. Answering phones, scheduling existing client appointments, confirming and changing appointments, screening first-time callers and scheduling consultations. Greeting clients in a courteous and professional manner. Processing in-person and phone payments, as needed. Sorting incoming correspondence, scanning case receipts into client’s file, entering reminders, case notes, and events into the calendar based on daily physical and electronic mail. Handling and documenting all outgoing mail, including scanning and hole punching case filings, logging, creating FedEx and USPS packages, and dropping mail off at the end of the day, as well as making hand deliveries, as needed, to local offices. Copying client personal documentation and supporting documentation. Closing files for completed cases. Providing Spanish/English interpretation and responding to calls from Spanish speaking clients. Assisting in office supply management. Organizing and assisting in preparing materials for team meetings, and taking minutes, when necessary. Assisting with projects as assigned by the legal team, which may include the preparation of basic legal documents and filings. Requirements: Fluency in English and Spanish (spoken and written). Excellent verbal and written communication skills and professional demeanor. Excellent attention to detail. Ability to multitask and remain flexible. Ability to work independently and within teams, manage time and workloads efficiently, and keep deadlines. Competency in Microsoft Office Suite, case management databases (.: LawLogix), and task management software (.: ClickUp) as well as interest in technology applied to the field of law.
