Law Firm Seeking File Intake/Transfer Manager for Multiple Locations

Womble Bond Dickinson (US) LLP is currently seeking a skilled File Intake/Transfer Manager to join our team. This role will be responsible for managing the intake and transfer process for all incoming and outgoing files, ensuring that all relevant information is gathered, organized, and processed accurately and efficiently.

Responsibilities:

• Oversee the entire process of file intake and transfers, from start to finish
• Collaborate with multiple teams to facilitate the intake and transfer of files
• Ensure all conflicts are resolved, priority matters are identified, and engagement letters are drafted and signed
• Work closely with the General Counsel's office, Legal Project Assistants, and local Office Directors of Administration
• Utilize provided charts and systems to accurately organize and categorize information
• Communicate with the Billing team regarding client billing rates and project billing
• Receive, log, and track incoming files and docketing information for all practice groups
• Coordinate with the IP Docketing team to manage workflow, prioritize tasks, and ensure deadlines are met
• Maintain accurate and up-to-date records of all incoming files and their status
• Assist with the preparation of reports and statistics related to file intake
• Create client matter number matrices to match files from old firms to new firms
• Ensure all client files are transferred out of the firm according to File Transfer Procedures, including removing specified documents
• Draft client transfer letters and track responses when attorneys leave the firm
• Work with IT personnel to transfer all necessary information in and out of the firm

Requirements:


• Knowledge of IP laws, regulations, and docketing procedures
• Attention to detail and accuracy
• Ability to work independently and as part of a team
• Proficiency in Microsoft Office and ability to quickly learn new software
• Willingness to travel up to 25% of the time
• Strong written and oral communication skills
