Job Title: Billing Coordinator
Job Responsibilities:
The role of a Billing Coordinator at the law firm involves providing billing support and other professional support services to the attorneys and clients on a full-time basis, unless otherwise arranged. The essential duties and responsibilities include:
- Conducting daily audit approvals of new client/matter intake and change requests to ensure the accuracy of key accounting data in the core system, including manual updates to information.
- Reviewing outside counsel guidelines as needed and confirming results reflected in client/matter setups. Collaborating with legal secretaries and others to manage outcomes and expectations.
- Reviewing submitted pre-bill/proforma documents and raising client invoices in the core accounting system based on attorney direction. Distributing resulting invoices to the client based on preference (e-mail, e-Billing system, mail).
- Requesting approval for significant write-downs of fees and/or costs and processing adjustments, transfers, application of funds held in trust, and generation of ad-hoc pre-bill/proforma documents.
- Coordinating specialized billing processes for assigned attorneys, including managing the set-up, submission, tracking, and follow-up on rejection/appeals for electronic billing. Serving as a liaison between attorney, client, and third-party billing vendor.
- Coordinating client billings based on thresholds with multiple billing attorneys and preparing status reporting as needed.
- Monitoring the status of retainer billings, generating invoices, and preparing necessary reports.
- Communicating with legal secretaries and attorneys in a diplomatic manner to resolve billing challenges and inquiries within expected turnaround times.
- Assisting with the generation of ad-hoc time and billing requests and external audit responses as needed.
- Performing other tasks and projects as assigned by the Assistant Billing Manager and/or the Billing Manager.
Education and Experience Information:
The position requires an Associate’s Degree in Accounting, with a preference for candidates who have 3-5 years of related experience in a professional services setting. The candidate must possess strong written and verbal communication skills, technical proficiency with business and accounting software applications (such as Microsoft Excel, Microsoft Word, Microsoft Outlook, Adobe, Elite Enterprise, Elite 3E), and the ability to work independently to meet established deadlines. Additionally, the candidate must demonstrate responsibility, attention to detail while understanding the big picture, flexibility, problem-solving ability, and strong organizational skills.
Salary Information:
The hourly range for the Billing Coordinator position is USD to USD. Various factors determine compensation, including geographic location, experience, relevant degrees and certifications, and other applicable factors authorized by law.
Working Conditions:
The role is based in a normal law office environment with little exposure to noise, dust, or temperature extremes.
