Job Title: Legal Practice Assistant
Job Responsibilities:
- Preparation of Documents: This includes efficient workflow management such as duplication, printing, mailing, and merging of documents. The assistant is responsible for proofreading all work for both content and context to ensure accuracy and consistency.
- File Management: Preparing and maintaining client and office files in both electronic and paper filing systems. This also involves the preparation and submission of new client and/or new matter forms.
- Travel and Expense Management: Planning and making travel arrangements, including transportation, automobile rentals, and hotel reservations. Additionally, the assistant is responsible for preparing and submitting expense reports and check requests.
- Billing and Financial Coordination: Working closely with the billing department to resolve billing problems and efficiently process final billing statements. The assistant will also work with clients’ electronic billing systems and monitor billing processes.
- Client Communication and Scheduling: Communicating with clients on a daily basis via phone or email, and scheduling and coordinating meetings and conferences.
- Document and Project Management: Possessing strong document processing skills and project management capabilities. The assistant is expected to support other practice areas within the firm as needed.
Education and Experience Information:
- Minimum 5 years of recent litigation experience is required.
- Experience with state and federal e-filing is essential.
- Familiarity with litigation procedures and processes is necessary.
- Calendaring and docketing experience is required.
- Experience with the use of a document management system is preferred.
- Redlining experience is preferred.
- Proficiency with Microsoft applications, specifically advanced level in Word and Outlook, is required.
- Outstanding written and verbal communication skills are necessary, along with the ability to professionally interact with clients, attorneys, and staff.
- The ability to work overtime is required.
- A high school diploma or its equivalent is required.
