Job Responsibilities:
The Director, Global Lease Administration - Contract is responsible for managing and optimizing the global lease portfolio of the law firm. The position involves ensuring compliance with internal policies and lease terms while supporting strategic real estate initiatives. Key responsibilities include:
- Policy Development: Establishing standards and policies related to the type, size, and build-out parameters of office spaces to standardize a global approach and manage costs effectively.
- Lease Management: Maintaining a centralized database of all global leases to aid decision-making processes, ensuring accurate record-keeping, timely renewals, and compliance with lease terms.
- Negotiation: Assisting offices with lease renewals, amendments, new leases, and agreements with build-out vendors and suppliers. The role involves leveraging market research and alternative options to secure favorable terms and supporting decision-making through benchmarks on space utilization and market trends.
- Financial Analysis: Conducting financial analysis to assess occupancy costs, budgeting for potential increases, and exploring options for financial incentives or concessions from landlords.
- Market Research: Comparing current market rates for similar properties, investigating alternative locations, and understanding landlord positions and market conditions.
- Legal Compliance: Ensuring compliance with local and international regulations, reviewing changes in zoning laws or building codes, and consulting with legal and procurement on lease terms, liabilities, and reporting obligations.
- Strategic Planning: Developing and implementing a strategic roadmap for lease management, optimizing space utilization, and supporting remote/flexible work trends.
- Technology Integration: Collaborating with IT to develop standards for AV and IT equipment in office refurbishments and relocations.
- Employee Amenities: Evaluating amenities that enhance employee satisfaction and productivity, ensuring a healthy and safe workspace.
- Supporting ESG Objectives: Tracking and reporting sustainability metrics, collaborating with the Chief Sustainability Officer to ensure progress related to the firm's targets (such as LEEDs, BREEAM).
Education and Experience Information:
Candidates for this position should possess the following qualifications and experience:
- A bachelor’s degree in business administration, real estate, finance, or related fields.
- Strong experience in lease administration, real estate management, or a related role, preferably in a multi-continent environment.
- Proficiency in managing complex lease agreements, including consideration of local language requirements during lease negotiations and review of terms.
- Ability to work collaboratively with cross-functional teams, brokerage firms, and individually.
- Excellent project management and budgeting skills.
- Solid experience with local and international real estate regulations and compliance.
- Proficiency in lease management software and tools.
- Exceptional communication and interpersonal skills.
- Understanding of law firm structure and environment.
- Proficiency with Microsoft Office suite (Outlook, Excel, Word, PowerPoint).
- A passion for learning new tools and systems (., Real Estate hub, SAP) and data management.
- Keen attention to detail and commitment to data accuracy and integrity.
- Effective time management and prioritization skills to meet deadlines and ensure project success.
- Ability to make effective, accurate decisions and judgment calls resulting in workplace improvements, profitability, and best practices.

Salary Information:
This position is bonus-eligible and includes medical, dental, vision, and 401(k) benefits based on the number of hours worked. For candidates located in offices in California, Illinois, New York, or Washington DC, the US base compensation for this position is expected to be up to $300,000 annually. Individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Specific salary range details for a preferred location can be shared by the recruiter during the hiring process.
