Honigman is seeking a proactive and detail-oriented Attorney Recruitment Assistant to join our dynamic Attorney Development and Recruitment team. This position plays a key role in supporting the recruitment and onboarding of legal talent, including law students, lateral attorneys, and summer associates. The ideal candidate will thrive in a fast-paced environment and demonstrate strong organizational and interpersonal skills.
JOB SUMMARY
Under the supervision of the Director of Legal Ethics and Conflicts and the Director of Client Solutions and Lead Client Intake Counsel, the Administrative Assistant will provide high-quality administrative support to conflicts and client intake attorneys and other firm attorneys who perform work for the Office of the General Counsel. The Administrative Assistant will be responsible for tracking, following up on, and filing relevant documents in support of required firm processes. This position will be based in our Detroit office.
RESPONSIBILITIES
Provide high-quality administrative support to assigned attorneys.
Track, follow up on, and ensure completion of:
Undeliverable firm mail to intended recipient in a timely manner so that vital communication/responses are addressed.
Firm ethical screens to ensure responses from timekeepers and screened individuals are documented and saved in document management system.
The uploading of engagement letters to various firm systems, including twice monthly follow up on outstanding engagement letters.
The uploading of outside counsel guidelines and other non-standard client agreements to various firm systems.
The uploading of firm contracts, including vendor agreements, to various firm systems.
Create workspaces in firm document management system relating to conflicts of interest, attorney and business professional recruiting candidates, and ethical screens.
Coordinate training sessions with various firm attorneys and business professionals.
Coordinate the provision of key terms in client guidelines to new timekeepers.
Assist with various client matter data maintenance, as needed.
Prioritize assignments and prepare often sensitive and detailed correspondence, such as responses to requests for information or regularly recurring reports.
Effectively establish and maintain well-organized files, while managing the integrity of original documents.
Handle document creation tasks, including formatting, redlining, and proofreading documents.
Coordinate meetings, prepare agendas, and take minutes.
Maintain confidentiality, ensure work product is accurate and presented professionally, and make efforts to foster a positive rapport with all contacts.
Provide back-up coverage for the Detroit office receptionist.
QUALIFICATIONS
At least 1-3 years of prior law firm or professional services experience preferred.
Undergraduate degree required.
Excellent verbal and written communication skills.
Familiarity with legal conflicts systems, client intake procedures, and contract management tools is a plus.
Possess strong administrative and communication skills and demonstrate the ability to manage multiple priorities in a fast-paced environment.
High-level proficiency in MS Office Suite and document management systems, as well as an ability to quickly learn and effectively utilize other applications as required.
Advanced computer skills and ability to use various features of multiple software programs as required.
Ability to work with multiple constituents.
Strong attention to detail required.
Must handle confidential information with discretion and accept responsibility for producing work that is consistently complete, timely, effective, and accurate.
Ability to follow and convey instructions effectively with a high degree of courtesy and tact, including ability to independently follow up on open items.
Ability to work overtime, when needed.
Pay Range and Compensation Package
Honigman provides a generous total compensation package, which includes comprehensive health and well-being benefits, as well as 401k and profit sharing. The anticipated annual pay range for this role is $55,000 to $65,0000 (non-exempt). The actual offered pay rate will be determined based on various factors, including qualifications, experience, geographic location, education, external market data, and internal equity considerations.
