Job Title: Administrative Specialist
Job Responsibilities:
The Administrative Specialist role is centered around reception and mailroom duties, which encompass managing various tasks related to calls, legal documents, and correspondence. Key responsibilities include:
- Providing reception services, including answering and routing calls on a multi-line phone system.
- Document scanning, copying, and mailing.
- Working independently at times to file legal documents in a dedicated file room.
- Consistently and accurately updating case management systems.
- Retrieving and responding to various client and internal law firm requests via phone or email.
- Learning basic legal documents and terminology.
- Ensuring timely, courteous, and thorough responses to a heavy volume of email correspondence.
- Providing exceptional customer service to clients at every level of interaction.
- Supporting attorneys in a high-volume, time-sensitive atmosphere.
- Maintaining strict confidentiality of client and borrower information and law firm processes.
- Performing other duties and responsibilities as needed.
- Ability to carry 10 pounds or more.

Education and Experience Information:
- High school degree required.
- College degree strongly preferred.
- Recent college graduates or individuals with 2-3 years of relevant experience are encouraged to apply.
Physical Demands:
The job requires the employee to frequently sit for extended periods while performing their duties.
Work Environment:
- The role is based in a normal office setting with quiet to moderate noise levels.
- This is a full-time position, with working hours from Monday to Friday, 8:00 am to 5:00 pm.
Salary Information:
The salary for this position is between $20-$25 per hour, commensurate with experience and accomplishments.
