Job Title: Practice Coordinator

Job Responsibilities:
The Practice Coordinator at the law firm in the St. Louis office is tasked with supporting lawyers in the Disputes practice. This role encompasses a wide variety of administrative duties, primarily focused on document production, organization, research, and client support for timekeepers. Key responsibilities include:

- Document Production: Formatting, editing, and finalizing various legal documents such as correspondence, memoranda, briefs, motions, and pleadings. Proofreading all documents for content, grammar, and accuracy.
- Scheduling: Maintaining calendars, coordinating and scheduling meetings, depositions, conference calls, and WebEx sessions. Sending calendar invites, reminders, and reserving conference rooms both on-site and off-site.
- E-filing: Filing documents with various courts while staying updated on format, filing requirements, and deadlines.
- Client File Management: Organizing client files, including electronic files in the firm’s document management system (FileSite or iManage).
- New Client/Matter Preparation: Preparing and processing new client/matter forms, conducting conflicts searches, and preparing engagement letters and budgets.
- Invoice Monitoring: Tracking outstanding client invoices and submitting appeals for underpaid amounts when necessary.
- Billing Support: Reviewing and editing pre-bills for submission to the billing department, and researching/identifying outstanding invoices and payments.
- Time Entry: Inputting time entries for assigned lawyers, tracking work in progress, and managing account receivables.
- Task Delegation: Exercising good judgment in delegating administrative tasks as needed to appropriate firm resources and maintaining responsibility for tracking all delegated activities to successful completion.
- Client Interaction: Interacting and following up with clients, outside counsel, and others as needed.
- Contact Management: Maintaining and updating contact lists, creating labels, and coordinating mailings as directed.
- Deadline Tracking: Monitoring deadlines and the status of cases/matters, updating lawyers or the docketing department as necessary.
- Paralegal Assistance: Assisting paralegals and performing some paralegal duties as assigned.
- Overflow Support: Assisting other practice group support members with overflow work and providing backup support as requested.
- Cross-Group Assistance: Assisting other practice groups as assigned.

Education and Experience Information:
- Minimum of 5 years of experience performing basic office and clerical duties in a law firm or professional service organization, with litigation experience required.
- Experience with paralegal activities is preferred.
- An Associate’s or Bachelor’s degree is preferred; a high school diploma is required.
- Proficiency with Microsoft Office Suite and Adobe Acrobat.
- Proficiency in Litigation Calendaring and software (Milana preferred).
- Excellent organizational skills and high attention to detail.
- Strong communication skills, both written and verbal.
- Good analytical and problem-solving skills.
- Ability to work harmoniously and effectively both independently and as part of a team.
- A self-starter committed to the job, with flexibility to work overtime as needed.
- Exercises appropriate confidentiality and discretion at all times.
- Demonstrates accountability and takes ownership and pride in work.
- Strong time management skills, able to prioritize actions from multiple sources.
- Ability to learn and understand basic firm principles.
