Job Title: Senior Legal Project Coordinator
Job Responsibilities:
The Senior Legal Project Coordinator will play a pivotal role in working with Legal Project Managers (LPM) to ensure the successful delivery of both client-facing and internal projects. The coordinator is expected to employ established and innovative tools and processes to bring solutions to various tasks. Key responsibilities include:
- Managing multiple projects with competing deadlines and providing support to project teams.
- Liaising with clients, the law firm's client matter team, specialist departments, offices worldwide, and external stakeholders.
- Supporting the creation and management of detailed project plans and helping define the scope of matters.
- Tracking and managing changes throughout the project lifecycle and advising junior team members on project-specific tasks.
- Proactively offering support beyond minimum delivery requirements and seeking opportunities to add higher value.
- Setting up and owning recurring tasks and activities, building organizational charts and timelines, and supporting requests from the LPM team.
- Mapping matter-specific processes and supporting core projects throughout their lifecycle.
- Designing ad hoc project update reports, creating client-ready reports, and providing oral and written updates on project developments.
- Flagging scope variance and key risks/issues, working with senior teams on mitigation strategies.
- Participating in the matter-review process for key matters and identifying areas for improvement.
- Triaging help requests and raising marginal requests with the senior team to determine LPM's task involvement.
- Enhancing standard delivery solutions and identifying opportunities for new service delivery.
- Contributing to project budgeting and converting project-specific materials into templates and reusable resources.
- Preparing, reviewing, and interpreting data visualization for matters.
- Contributing to the law firm's Innovation Strategy and becoming a subject matter expert on technology and standardized processes.
- Supporting the implementation of existing and new technology to meet project requirements and encourage uptake by LPM/Legal teams.
- Demonstrating project-specific processes, tools, and resources to project teams.
- Enhancing client experiences through LPM tools and communications.
- Building a network of professional colleagues across various functions and with external stakeholders to identify opportunities for new projects.
- Offering ad hoc support and project management expertise to non-LPM initiatives.
Education and Experience Information:
- A bachelor's degree is required, with a preference for a degree in law or business.
- A formal project management qualification such as Prince 2 Foundation is required; LSS Yellow Belt is desirable.
- Additional qualifications like Prince 2 Practitioner or Prince 2 Agile, LSS Green Belt or Black Belt, Management of Portfolios (MoP), or PMP are desirable.
- Some experience in project management roles is required.
- Understanding of or experience working in large complex organizations, ideally in a law firm or professional services firm, is preferred.
- Knowledge or experience with relevant IT packages such as Document Management Systems, Project Extranets (., SharePoint), or other collaborative project management tools is desirable.
- Strong knowledge of Microsoft Office, including Excel, and financial systems and reports.
- Experience influencing stakeholders within a professional services environment is desirable.
- Strong communication and relationship-building skills are essential.
- A desire to work collaboratively with senior-level professionals to help them achieve their objectives is required.
- The ability to work independently, with flexibility and a hands-on approach to achieve project objectives, is essential.
- Knowledge of data visualization and associated tools (., Excel charting, Tableau, Power BI) is desirable.
- Skills in sourcing data, preparing reports, executive summaries, and status reports for attorneys and clients are required.
- The ability to calculate key financial metrics and analyze matter-level performance, including profitability, is essential.
- Disciplined and attentive to details with strong time management skills.
- Demonstrated ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
- Competency in continuous improvement, change management, flexible approach, and exceeding expectations is desirable.
Salary Information:
This position is bonus-eligible and includes medical, dental, vision, and 401(k) benefits based on the number of hours worked. The US base compensation for this position is expected to be between $80,000 and $95,000 annually if located in an office in the states of Washington . or Illinois (Chicago). Within this range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
