Job Title: Legal Office Manager
Job Responsibilities:
- Supervise accounts payable and accounts receivable, including all levels of banking and trust accounting.
- Monitor cash flow and manage all financial transactions, including credit card processing, payroll, and budget preparation.
- Prepare financial reports and work with CPA for annual taxes, including preparation and filing of annual 1099s.
- Administer and manage the TimeSlips timekeeping system.
- Oversee the preparation of monthly invoices by the billing coordinator and finalize them.
- Prepare and submit cost backups for client invoices, billing statements, and reconciliations as requested by clients.
- Monitor past-due accounts, prepare weekly aging reports, and manage client payments received.
- Supervise non-attorney personnel, manage staff relations, and conduct interviews for hiring secretarial and support staff.
- Manage workflow, project assignments, conflict resolution, and performance evaluations.
- Develop and implement office policies and procedures.
- Track PTO for staff and attorneys and prepare semi-monthly and monthly reports.
- Administer health, dental, vision, and long-term disability coverage.
- Administer 401(k) Profit Sharing Plans for staff, associates, and partners.
- Prepare annual reports for tax returns and work with TPA for self-directed plans.
- Prepare and submit semi-monthly employee contributions to investment companies.
- Prepare and submit annual applications for professional liability, general liability, cyber, and workers’ comp insurance.
- Negotiate office and equipment leases and manage maintenance agreements on all equipment.
- Supervise supply purchases.
Education and Experience Information:
- A 4-year bachelor’s degree with a concentration in Human Resources or Business Administration is preferred.
- Equivalent work experience is highly considered.
- A minimum of five years’ experience in an office manager, firm administrator, or similar management role.
- Proficiency in MS Office applications (Outlook, PowerPoint, Excel, Word) is required.
- Experience with QuickBooks and TimeSlips Systems is necessary.
- Strong time management skills, professionalism, and the ability to support a fast-paced environment are essential.
- Ability to prioritize work scope as needed.
- Effective written and verbal communication skills are required.
- A collaborative and team-oriented working style is highly desired.
Salary Information:
- Pay Rate: $125,000 - $135,000 annually, depending on experience.
- Full benefits are included.

- Employment Type: Full Time Direct Hire
- Schedule: Monday to Friday, 9 am – 5:30 pm PT
- Work Location: Hybrid remote in Oakland, CA
- Hybrid Schedule: Three days onsite
