JOB DESCRIPTION

POSITION SUMMARY:
The Legal Administrative Assistant/Paralegal is responsible for assisting with substantive legal work for which an attorney is responsible, as well as managing the day-to-day needs of the attorney(s) to whom they are assigned.

WORKING RELATIONSHIPS:

REPORTS TO: The Legal Administrative Assistant/Paralegal reports to the attorney(s) they are assigned to, the Practice Group Leader, and the Department Chair for matters related to legal work. For administrative matters, they report to the Office Manager.

SUPERVISES: This position has no supervisory responsibilities.

PRIMARY DUTIES AND RESPONSIBILITIES:
- Provide support to assigned attorney(s) and paralegal(s), and serve as a backup to other group Legal Administrative Assistants as needed.
- Transcribe dictation using Dictaphone and/or Express Scribe system, format documents into final form, proofread, copy, scan, fax, and mail via US Mail, shipping, or email. Prepare and process outgoing mail according to client and attorney requirements, maintaining a copy of correspondence in the matter file for easy retrieval and/or other parties.
- Process incoming mail by scanning to the document management system and distribute via email to the appropriate attorney/paralegal. Draft and prepare correspondence for the attorney’s signature, forwarding copies of pleadings, orders, etc., for distribution to clients and/or other parties.
- Maintain a record of meetings, court deadlines, client reporting, and other tasks, appointments, or engagements in the attorney/paralegal calendar. Provide reminders as necessary, and assist in assembling documents and files necessary for events. Must have knowledge of attorneys’ preferences, using Outlook, Wunderlist, Dropbox, and other specific programs used by the group.
- File/e-file documents with courts and/or agencies. Download and email attorney notifications and documents filed in Federal Court. Maintain a record of documents received for record-keeping and ease of retrieval.
- Maintain tracking charts according to attorney instructions regarding client reporting, pleading and discovery indices, HIPAA receipt and disclosure logs, Continuing Legal Education reporting, etc.
- Prepare billing letters, travel expense reimbursement forms, process vendor invoices for payment by the law firm or client, and maintain a record of paid invoices.
- Open/close files consistent with department and law firm practice. Knowledge of LBMS software is necessary to follow requirements and assist attorneys in opening new case files.
- Schedule depositions, court reporters, hearings, conference calls, meetings, and travel.
- Manage and prepare presentations as needed.
- Perform office duties including answering phones, checking attorney voicemails as necessary, copying, scanning, faxing, time entry, completing Partner Desk for attorney calls, filing, organizing pleadings and medical records and other records, and scheduling and maintaining the calendar for the attorney according to specific instructions. Serve as backup at the receptionist desk as necessary.
- Assist attorneys in the preparation of filings pertaining to specific areas of law.
- Draft legal documents in Microsoft Word and assist the attorney.
- Work with the attorney and/or client to take instructions, obtain information, report on the status of matters, and otherwise support legal actions.
- Organize, maintain, review, summarize, and analyze documents and records.
- Develop and maintain knowledge of statutes, court decisions, and customs relating to legal procedures and practices in appropriate areas of law, including filing procedures in all required states.
- Run conflict reports and open new files utilizing the LBMS system.
- Prepare check requests and travel/expense reports.
- Perform other duties and projects as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

EDUCATION: A high school diploma or equivalent is required, along with 1-2 years of clerical experience.

- Strong communication skills, both verbal and written
- Ability to prioritize and work under a tight schedule
- Ability to manage others as needed
- Proficient computer skills (working knowledge of Word, Excel, Outlook, PowerPoint)
- Ability to work overtime, as needed, to meet deadlines
- Ability to work independently and cooperatively in a team environment

WORK EXPERIENCE: 2 years of prior work experience in a law firm is required.

PREFERRED: A Bachelor’s degree and an advanced paralegal certificate are preferred.

WORKING CONDITIONS:

PHYSICAL EFFORT: This position requires manual dexterity in operating standard office equipment. It involves lifting up to 40 lbs., some stretching and reaching, the ability to work under stress and time constraints, walking and climbing stairs, and sitting for long periods. The role may require walking to various areas throughout the department, which will require the use of elevators and/or stairs.

WORK ENVIRONMENT: The work environment is an indoor office setting with extended periods of time working on a PC. On occasion, the position may require working more than 40 hours per week.

JOB STATUS: This is a full-time, nonexempt position, with a workweek of hours.
