Job Title: Legal Practice Assistant - Muni, Health & Housing
Job Responsibilities:
The Legal Practice Assistant at the law firm will be tasked with a variety of responsibilities to support the Municipal Health Care and Housing Practice Group. This role requires the candidate to work full-time from the Seattle office, providing essential support to municipal/public finance attorneys. The responsibilities include:
- Running conflict checks as requested.
- Preparing engagement letters.
- Entering attorney time into Intapp Time, reviewing pre-bills, and finalizing invoices.
- Opening, maintaining, and closing client files, and updating transcript and file databases.
- Drafting and preparing closing documents.
- Preparing, proofreading, and revising correspondence and documents.
- Preparing FedEx mailings when necessary.
- Enrolling attorneys in Continuing Legal Education (CLE) courses and assisting with related questions and recording.
- Coordinating travel arrangements.
- Processing expense reimbursements through Chrome River.
- Scheduling appointments and conference room reservations.
- Maintaining attorney Outlook calendars.
- Distributing, tracking, and collecting documentation and coordinating closing logistics.
- Preparing bond transcripts, which includes reviewing and printing financing documents.
Education and Experience Information:
The ideal candidate for the Legal Practice Assistant position should possess a high school diploma, although an associate degree is preferred. A paralegal certificate would be beneficial but is not mandatory. The law firm prefers candidates with at least three years of experience working in a law firm environment, although this is not a strict requirement.
Skills required for this role include:
- Broad computer knowledge and proficiency with Windows Operating System, Word Processing, Spreadsheets (Excel), presentations (PowerPoint), Internet (Chrome and Firefox), and other related software.
- Excellent spelling, punctuation, and grammar skills.
- Ability to track, organize, compile, and index large volumes of documents.
- Strong prioritization skills and the ability to anticipate necessary projects.
- Self-troubleshooting capability with a willingness to ask questions.
- Excellent organizational skills and clear communication abilities, both orally and in written form.
- Experience in drafting closing and disclosure documents and coordinating closing logistics is preferred.
Salary Information:
The salary range for the Legal Practice Assistant position is between $57,500 and $80,000 annually. However, the actual pay may vary based on the candidate’s education, training, experience, and other job-related factors permitted by law.
