Job Title: Practice Support Team Specialist (Labor & Employment Legal Assistant)
Job Responsibilities:
The Practice Support Team Specialist (Labor & Employment Legal Assistant) is tasked with providing comprehensive administrative support to assigned attorneys within a specific Practice Specialty Center at a law firm. Key responsibilities include:
- Coordinating workflow for assigned attorneys and delegating specific tasks to other teams while ensuring follow-up and quality control.
- Preparing legal documents by typing, transcribing, revising, and proofreading them accurately, prioritizing assignments, and meeting deadlines.
- Assisting in coordinating timekeeper calendars and meeting arrangements, making travel arrangements, and preparing itineraries.
- Managing accounting administrative functions such as coordinating client billing matters, preparing billing letters, and assisting attorneys with tracking and monitoring alternative fee arrangements and matter budgets.
- Processing new client/matter intake by preparing and processing new matter forms, requesting conflict checks, and opening new files.
- Reviewing and routing incoming mail and fax communications, preparing and processing outgoing mail and faxes, and arranging for specialized mail or messenger services as required.
- Providing general administrative support, including maintaining attorney contacts and tracking requirements related to CLE and memberships.
- Demonstrating effective teamwork and communication with team members and all firm personnel, actively participating in team meetings, and exchanging information and training tips for maximum job effectiveness.
- Using team software to log and manage workflow and operating office equipment such as PCs, printers, and copiers.
- Conducting all business in a confidential manner and coping successfully with demands from timekeepers while remaining calm under pressure.
- Performing other duties as assigned.
Education and Experience Information:
- A High School Diploma or GED is required; a 2-year degree is preferred.
- The position requires 3-5 years of legal experience with a heavy focus on Labor & Employment.
- A minimum typing speed of 60 words per minute is necessary.
- Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel, is required.
- Previous transcription experience is preferred.
