Job Title: Trademark Docketing Specialist
Job Responsibilities:
The Trademark Docketing Specialist plays a crucial role in supporting attorneys, specialists, paralegals, and other team members within the Trademark group at the law firm. The primary responsibilities include docketing functions, data entry, updating existing records, tracking, and following up on deadlines, reporting, and client record onboarding. Key duties involve:
- Reviewing and processing a large volume of emails, mailings, correspondence, and pleadings related to trademark matters from the USPTO, clients, foreign counsel, and other foreign trademark offices.
- Maintaining the docket for trademark attorney’s cases using a web-based docketing system.
- Scanning and saving hard/soft copy documents, using the firm naming convention, to the correct client/matter folder and forwarding them to the correct legal team.
- Reporting out documents received and deadlines docketed to the responsible parties (attorney/paralegal/IPS/secretary) according to docketing department standards.
- Preparing and distributing monthly, weekly, and final deadline docket reports which reflect upcoming due dates and reminders to each attorney/client team for important prosecution deadlines.
- Keeping a thorough record of all docketed items to resolve any questions regarding specific deadlines and/or methods used.
- Coordinating with attorneys regarding law changes and local rules specific to governing calculation of out-of-state docketing deadlines to ensure that all dates docketed are accurate.
- Assisting with other docketing-related duties, reports, and special projects, as necessary.
Competencies required include job knowledge and technical skill, communication, teamwork, customer/client experience, and the ability to deliver exceptional quality work.
Education and Experience Information:
The position requires a minimum of three years of trademark docketing experience. Candidates must have knowledge of WebTMS, PATTSY Wave, or other docketing software. Excellent interpersonal, oral, and written communication skills are essential. Prior knowledge of US and foreign trademark prosecution processes and an understanding of relevant documents are strongly preferred. Experience with interfacing with USPTO, WIPO, and other websites regarding trademark matters is required. The role demands the ability to prepare accurate, highly detailed work with excellent proofreading skills. Strong organizational skills and attention to detail are critical. The position requires the ability to work effectively with personnel at all levels of seniority within the firm and an aptitude for understanding a variety of databases and software.

The job requires the ability to sit, stand, and/or walk for extended periods, manipulate weights of at least ten pounds, have repetitive wrist/hand/finger movement for computer work, speak clearly and concisely, and understand the speech of others. Salary Information:
The law firm considers a candidate’s education, training, experience, work location, external market, internal value, seniority, and merit systems when determining salary levels. The salary range for Colorado is to per hour, and for Washington DC, it is to per hour. A discretionary bonus may be available based on performance.
