Executive Assistant to the Chief Legal Officer
Job Responsibilities
- Maximize the Chief Legal Officer's efficiency and manage priorities, including booking appointments, managing to-do lists, and maintaining a frequently changing calendar through Outlook.
- Organize and coordinate all aspects of executive-level appointments, meetings, receptions, and conference calls, including room bookings, ordering food, disseminating materials, and collaborating with other administrative staff.
- Book and coordinate travel arrangements, including both domestic and international travel (air, ground, hotels, dining, and tours).
- Prepare the Chief Legal Officer for meetings by clarifying the purpose of each meeting, preparing agendas, pulling background materials, and creating briefing documents. Conduct follow-up tasks and ensure timely completion of commitments made during meetings.
- Create and assist with the creation and modification of presentation materials, spreadsheets, and other documents using PowerPoint or other software programs.
- Serve as the gatekeeper of the Chief Legal Officer's time, schedules, and information while maintaining a courteous manner.
- Prepare, reconcile, and track expense reports.
- Oversee significant areas of the Law Department’s operations, including invoice processing and review.
- Partner with the Executive team and other Executive Assistants to create a seamless support environment.
Education and Experience Information
- A minimum of 5 years of experience supporting senior executives is required.
- Proficiency with Microsoft Office, including Outlook, Excel, Word, PowerPoint, and SharePoint, is necessary.
- Strong planning, time management, and organizational skills are essential.
- Exceptional written, verbal, and interpersonal communication skills are required.
- Ability to meet deadlines and manage time-sensitive issues in a fast-paced environment is crucial.
- Ability to build relationships with the assistant community, internal/external leaders, and other team members is important.
- Must maintain confidentiality and act with discretion, demonstrating a high degree of maturity and professionalism with senior leadership.
- Ability to quickly learn and adopt new technologies.
- Flexibility to change direction as needed and perform well under unanticipated interruptions or pressures.
- Collaborative team player, willing to contribute to the work needing to be done.
- Experience managing projects through completion is preferred.
- Event planning and management experience is a plus.
- An Associate or Bachelor’s degree is preferred.
- Being a Certified Paralegal is ideal, but equivalent experience through in-house work, a law firm, or another legal setting is acceptable.
- Experience coordinating the processing and review of legal invoices is beneficial.
Salary Information
- The salary range for this position is 62, to 115, (in local currency).
- This position is also eligible for a bonus as part of the total compensation package.
