Job Title: Legal Secretary/Senior Legal Typist
Job Responsibilities:
The position of Legal Secretary/Senior Legal Typist involves performing various legal secretarial duties for multiple attorneys and professional staff in the Sacramento Office of the Attorney General. Responsibilities include typing, editing, storing, retrieving, and electronically sending legal documents and pleadings using department-supported software like Word, Best Authority, Microsoft Outlook, Adobe Acrobat, Prolaw, and other desktop technology tools. The role also involves formatting and filing/e-filing legal documents with State and Federal Courts, producing case citations, ensuring documents are prepared and proofread in accordance with legal requirements, maintaining a calendar of document due dates and court appearances, composing letters and memoranda, preparing subpoenas, scheduling court reports for depositions, making travel arrangements, and assisting with overflow work as needed.
The Legal Secretary must effectively carry out assigned tasks with minimal supervision, work well under pressure, and meet short deadlines. They must comply with state and departmental rules and regulations and office policies and practices. The role also requires maintaining open communications with attorneys and other staff, performing work in a safe and efficient manner, and performing other duties as required.
The Senior Legal Typist performs difficult legal clerical work and less complex legal secretary work for three or more attorneys and professional staff. Responsibilities include preparing difficult legal clerical work, filing court documents, developing an understanding of court rules, maintaining proficiency in the Attorney General's case management system (Prolaw), digitizing documents, applying legal terms, indexing trial binders, preparing shell pleadings, maintaining case files, and assisting with overflow work.
Education and Experience Information:
For the position of Senior Legal Typist, candidates should have one year of experience in typing and clerical work, with at least six months of legal nature work, or completion of a certificated legal secretarial program. For the position of Legal Secretary, candidates should have one year of experience in the California state service as a Senior Legal Typist, or two years of experience in a private law firm, corporate law office, or a governmental legal program performing legal secretarial duties. Academic education above the 12th grade can substitute for part of the required experience. Completion of a certificated legal secretarial program can also substitute for part of the required experience.
Salary Information:
The salary for a Legal Secretary ranges from $4, to $5, per month. For a Senior Legal Typist, the salary ranges from $3, to $5, per month. Legal Secretaries and Senior Legal Typists in San Francisco, Los Angeles, San Diego, Oakland, Sacramento, and Fresno qualify for "Hire Above Minimum" (HAM) with starting salaries of $4,913 for Range A and $5,162 for Range B for Legal Secretaries, and $4,189 for Range A and $4,678 for Range B for Senior Legal Typists. Employees may be eligible for a recruitment and retention pay differential based on qualifying pay periods.
Working Conditions:
This position offers a hybrid schedule, combining remote and in-office work. The employee must maintain a distraction-free remote work environment and is responsible for their equipment, including internet bandwidth. The office typically occupies several floors of a high-rise building with carpeted or vinyl-covered floors and is a smoke-free environment. Secretaries are housed in either window or windowless spaces at individual desks or cubicles. The position may require reporting to the HQ office periodically for operational needs.
