Job Title: Client Compliance Coordinator

Job Responsibilities:

The Client Compliance Coordinator at the law firm is tasked with ensuring that the legal billing practices align with the firm's policies, industry standards, and client agreements. The position demands a thorough review of the firm's client fee agreements to ensure accurate and transparent posting requirements on the firm's policy site. The role is based in either Houston or Washington . and reports directly to the Client Compliance Manager. Key responsibilities include:

- Managing and maintaining client compliance databases and documentation.
- Coordinating the onboarding of new clients, involving the intake of billing requirements and compliance documentation.
- Monitoring adherence to client-specific billing rules and updating templates and billing instructions as necessary.
- Facilitating communication between legal teams, billing partners, and eBilling teams to ensure the correct implementation of billing formats.
- Assisting with invoice preparation, submission, and error resolution across various platforms such as CounselLink, Serengeti, and Legal Tracker.
- Generating compliance reports and participating in client audits and internal reviews.
- Collaborating with attorneys, billing staff, and client contacts to resolve discrepancies.
- Assisting Billing Coordinators with prebill edits, creating and editing bill drafts, and processing invoices and write-offs.
- Maintaining and updating special billing arrangements related to billing attorneys' clients and matters, including fixed fee amounts.
- Reviewing billing support documentation and verifying descriptions, amounts, rates, client/matter data, and other billing requirements.
- Assisting legal secretaries with updating and maintaining documentation related to billing attorney's clients and matters.
- Providing administrative support as needed, such as furnishing client invoice copies for auditing, pulling disbursement backups, and filing documents in iManage.
- Performing other job-related duties and projects as assigned.

Education and Experience Information:

Candidates must possess 2-4 years of relevant legal billing compliance experience, with prior experience in a law firm or professional services environment being mandatory. A successful track record of providing superior client service and establishing strong rapport at all levels of an organization with both internal and external clients is essential. The role requires the ability to work under pressure, demonstrating flexibility with the competing demands of internal and external clients. Candidates should be strategic, analytical thinkers with strong critical thinking and problem-solving skills. Excellent time management, organizational, interpersonal, written, and verbal communication skills are necessary. Attention to detail is crucial, with the ability to identify issues that could impede processes and take initiative to provide solutions. Proficiency in a range of software, including Microsoft Office, e-billing software, and document management systems, is required. The ability to work independently in a fast-paced environment with minimal supervision within a team-oriented setup is necessary. Adherence to the firm's Agile Working Policy, which requires employees to work from the office at least three days each calendar week, is mandatory. Candidates must be legally authorized to work in the United States.

Salary Information:

The law firm offers a comprehensive benefits and compensation package. The salary range for the Client Compliance Coordinator role is $82,000 – $92,000. The actual salary will be commensurate with the candidate's qualifications and relevant experience.
