Job title: Concierge Intake Specialist
Job responsibilities
The Concierge Intake Specialist is an integral part of the law firm's mission, primarily focusing on the onboarding process for potential clients. The role includes meeting with individuals seeking the firm's services, confirming client information, and communicating case eligibility options. The specialist also provides information about the process for relief options, ensuring a smooth and efficient client onboarding experience. Key responsibilities include:
- Meeting with potential clients to effectively communicate the law firm's unique value proposition, services, and benefits.
- Building and maintaining strong relationships with potential clients by providing exceptional customer service, demonstrating empathy, and addressing their concerns and questions.
- Reviewing the information provided by potential clients and signing up new clients while addressing any concerns and highlighting the benefits of working with the law firm.
- Collaborating closely with a team of attorneys, paralegals, and legal assistants to ensure a smooth transition of newly onboarded clients to begin their case process.
- Providing accurate and comprehensive information about the client and their case to facilitate efficient case management.
- Maintaining detailed records of client interactions, consultations, and activities in the law firm's customer relationship management (CRM) system.
- Providing regular updates to management on performance and ensuring the proper use of systems to guarantee accurate reporting.
- Greeting clients, answering calls, and performing other front desk duties as required.
- Supporting clients by collecting and processing documents or other direct client needs to serve as a liaison between clients and the legal team.
- Overseeing office tasks to maintain smooth daily operations.
- Handling any additional tasks or responsibilities as directed by management.
Education and experience information
- All candidates must have a Bachelor’s Degree.
- Must be fully bilingual in Spanish and English.
- Must possess at least 2 years of professional experience, preferably working in an immigration law firm.
- Strong persuasive communication skills and enjoyment in working directly with current and potential clients.
- Knowledge of immigration laws, regulations, and processes.
- Excellent interpersonal and relationship-building skills to establish trust and credibility.
- Ability to work independently as a self-starter.
- Outstanding communication skills, both verbal and written, to effectively convey complex information.
- Results-oriented mindset with a drive to meet or exceed targets and business objectives.
- Familiarity with CRM systems and activity tracking tools.
- Experience in client-facing roles, preferably in a legal or immigration setting.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Exceptional written and verbal communication skills.
- Ability to work independently while being a team player.
