Job Title: Client Programs and Events Assistant

Job Responsibilities:
- Program and Event Coordination: Assist in the planning, implementation, and support of the law firm's client events program. This includes organizing strategic key events across global regulatory and DC-based practices.
- Registration and Onsite Management: Oversee event registration for both in-person and virtual events. This involves providing regular RSVP updates, addressing inquiries, and serving as the primary contact at the event registration check-in desk. Responsibilities also include preparing materials and managing on-site staffing.
- Event Materials and Logistics: Arrange for the production of event materials such as name badges, signage, banners, and booths, including setup and teardown. Coordinate with internal and external vendors to implement event plans and logistics.
- Event Tracking and Reporting: Contribute to event tracking databases and assist with event-related reporting. Update Circa with key event data and Return On Investment statistics. Provide support for post-program tasks, including updating InterAction and preparing feedback summaries.
- Promotional Items and Gifts: Oversee the sourcing, purchase, and distribution of promotional items and client gifts. Work with vendors to research options, build estimates, and maintain inventory. Manage the event closet and mail ad-hoc gifts as needed.
- Technology and Systems: Use the law firm's Customer Relationship Management (CRM) system (InterAction) to create event mailing lists and update contacts. Utilize the email management system (Vuture) for social invitations and internal tracking databases.
- Venue and Vendor Coordination: Source venues for private dinners, receptions, and other client gatherings. Handle Continuing Legal Education (CLE) accreditation by researching state bar requirements.
- Additional Duties: Perform other related duties as assigned to support the overall success of the law firm's events.

Education and Experience:
- High school diploma or equivalent.
- Minimum of one year of administrative experience in a professional services environment.

Qualifications:
- Knowledge of relevant firm computer software programs (., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems.
- Knowledge of content management systems and dynamic databases (., Interaction).
- Demonstrate effective interpersonal and communication skills, both verbally and in writing.
- Show close attention to detail and the ability to handle multiple projects and shifting priorities.
- Ability to handle sensitive matters and maintain confidentiality.
- Ability to organize and prioritize work.
- Ability to work well in a demanding and fast-paced environment.
- Flexibility to adjust hours and work the hours necessary to meet operating and business needs.

Salary Information:
The starting base salary for the position of Client Programs and Events Assistant is expected to be within the range of $68,000 - $72,000. The actual salary will be determined based on skills, experience (to the extent relevant), and other job-related factors, consistent with applicable law.
