Job Title: Legal/Finance Administrative Assistant

Job Responsibilities:
The Legal/Finance Administrative Assistant will play a critical role in supporting the corporate legal and finance team at the company. This position requires a meticulous and proactive individual who will manage various administrative tasks related to transactional matters, contract administration, document management, and coordination of legal department activities. The assistant will also support the Chief Financial Officer (CFO) with finance and accounting-related tasks. Key responsibilities include:

- Contract Administration: Assist in drafting, reviewing, and revising legal documents, including contracts and agreements. Prepare and maintain contract templates and ensure compliance with corporate policies. Track contract deadlines, renewals, and obligations to ensure timely execution and compliance.
- Document Management: Organize and manage electronic and physical files for transactional matters. Coordinate document execution and notarization processes as needed. Conduct routine audits of document management systems.
- Administrative Support: Schedule and coordinate meetings, calls, and presentations for the legal team. Handle communications related to transactional and litigation matters. Assist in preparing internal reports, expense reports, and invoices. Co-manage the calendars of the General Counsel and CFO.
- Transactional Coordination: Support the legal team in managing corporate transactions, including due diligence and compliance documentation. Conduct preliminary research and due diligence for transactions and corporate maintenance.
- Compliance and Record Keeping: Ensure adherence to corporate policies and legal requirements in documentation and administrative processes. Maintain accurate records of all transactional activities for audits and reviews.
- Office and Team Support: Communicate office supplies and equipment needs of the legal department. Perform other duties as assigned.

Education and Experience Information:
- Education: An Associate’s degree in Paralegal Studies, Legal Administration, Business Administration, or a related field is required. A Bachelor’s degree is preferred. Being a commissioned California Notary Public in good standing is strongly preferred.
- Experience: A minimum of 3-5 years of experience as a legal administrative assistant within a transactional law firm department or in-house corporate legal department is required. Experience with corporate transactional matters and contract management is essential. Commercial real estate legal administration experience is preferred.

Salary Information:
- The salary range for the Legal/Finance Administrative Assistant position is between $62,000 and $93,000, depending on experience (DOE).
- The position is non-exempt and follows a standard work schedule of Monday through Friday from 8:00 am to 5:00 pm, with the possibility of changes based on business needs.

Additional Requirements:
- Proficiency in Microsoft Office Suite, particularly Word and Outlook, is essential. Basic proficiency in Excel and PowerPoint is required, along with high proficiency in Windows legal document management systems.
- The ability to learn and maintain legal department workflow/task management software is necessary.
- A solid understanding of corporate legal terminology, transactional procedures, and compliance requirements is crucial.
- Excellent organizational and time-management skills, superior writing and oral communication skills, and high attention to detail are required.
- The ability to work independently and collaboratively, handle sensitive and confidential information, and adapt to changing priorities and deadlines is essential.
- Strong problem-solving skills, professional demeanor, and effective client relations skills are also required.

Physical Requirements:
The position requires regular communication and interaction, including talking and hearing. It frequently involves standing, walking, using hands to type or handle materials, and reaching with hands and arms.
