Job Title: Chief of Staff / Office Manager

Job Responsibilities:
- Serve as an Executive Assistant to the managing partner by managing business and personal needs promptly, paying great attention to detail, and facilitating the managing partner's life in all aspects.
- Act as an Office Manager to play a critical leadership role in the overall management of the law firm. This includes hiring talent, ensuring completion of all administrative tasks, building the infrastructure of the firm, supervising operations, innovating, critically analyzing the firm's performance, and proposing improvements regularly.
- Function as the Chief of Staff to manage a team of administrative assistants, take and convey instructions from the managing partner to the administrative team, supervise their progress, prompt task completion, and ensure all tasks are completed timely.
- Regularly use Microsoft Office 360, with proficiency in Word processing being essential.
- Manage scheduling and calendar coordination for attorneys, including meetings and deadlines.
- Prepare, review, and organize legal documents, correspondence, and client files.
- Communicate with clients and follow up on projects, deadlines, and documentation requests.
- Assist with onboarding interns and new employees.
- Conduct screening interviews with potential applicants.
- Attend daily meetings and track project deliverables and overall tasks.
- Manage the day-to-day tasks of the firm in general.
- Supervise staff and vendors to ensure proper handling of all incoming phone calls to the firm.
- Supervise staff to ensure proper handling of new client intakes.

Education and Experience Information:
- Bilingual proficiency in English and Mandarin Chinese is preferred, with the ability to read and write in Mandarin Chinese being a must. True proficiency in both languages is absolutely required.
- A Bachelor's degree is preferred.
- Prior work experience in a law firm or legal office setting is preferred.
- Strong organizational skills and the ability to multitask in a fast-paced environment are necessary.
- Experience with Clio Manage, Clio Grow, and is preferred.
- Proficiency in Microsoft Office 360 (Word, Excel, Outlook) and document management systems is required.
