JOB TITLE: Legal Administrative Assistant (Litigation)

JOB RESPONSIBILITIES:

- Coordinate incoming and outgoing electronic communications, including telephone, e-mail, and fax.
- Deliver exceptional client service both internally and externally, maintaining professionalism, discretion, and confidentiality.
- Coordinate travel arrangements and prepare itineraries for attorneys and timekeepers.
- Schedule meetings, arrange for conference rooms, and organize meals as necessary.
- Proactively manage busy calendars, prioritizing meeting requests with both internal and external groups.
- Prepare, type, and format legal documents accurately, ensuring timely completion and prioritization of assignments.
- Assist in preparing or proofreading litigation and business documents, including pleadings, discovery, settlements, contracts, and client correspondence.
- E-file documents as required and manage docket deadlines, including hearings, mediations, deadlines, and trials.
- Maintain both paper and electronic files, collaborating with the File Room to create and maintain client files and indexes.
- Prepare daily time entry for Partners and other attorneys, submitting in a timely manner.
- Collaborate with Accounting to ensure billing accuracy according to client requirements; perform Paperless Proforma edits, manage expense reimbursements, and prepare invoices for payment as requested.
- Demonstrate effective teamwork and provide assistance to other Legal Administrative Assistants as time permits.
- Work cooperatively with other departments and individuals within the law firm.
- Use sound judgment and initiative to develop project timelines, anticipate business needs, and meet deadlines.
- Interact with staff at all levels in a fast-paced environment, maintaining flexibility, proactivity, resourcefulness, and professionalism.

EDUCATION AND EXPERIENCE INFORMATION:

- 3-5 years of prior experience as an administrative assistant is required.
- Experience in a law firm or corporate legal department is preferred; experience with litigation is highly preferred.
- Some college education is preferred; a background in legal studies or paralegal studies is a plus.
- Excellent oral and written communication skills, organizational abilities, analytical and problem-solving skills, and a proactive business style are required.
- Advanced skills with Microsoft Office, including Word, Outlook, Excel, and PowerPoint, are required.
- A typing speed of 60 words per minute is preferred.

SALARY INFORMATION:

Compensation for this position is determined by considering a wide range of factors, including background and experience. The starting hourly rate for this position is expected to range from to , depending on the candidate's skills, qualifications, and experience.

PHYSICAL REQUIREMENTS:

- The position is generally sedentary, involving sitting most of the time, with occasional or routine lifting of up to 10-20 lbs.

- The ability to see and read PC screens, detect color coding, read fine print, and normal type size print is necessary.
