Job Title: Executive Assistant/Paralegal
Job Responsibilities:
Executive Assistant:
- Works closely with and effectively organizes managing partner emails and calendar. Keeps him well informed of upcoming commitments and responsibilities, following up appropriately.
- Manages the law firm’s case list, keeps track of upcoming appearances, and notifies appropriate staff.
- Corresponds with clients regarding scheduled phone calls, video conferences, in-person meetings, and/or court appearances.
- Builds and maintains a professional relationship with other legal counsel, courts, agencies, and professional organizations on behalf of the law firm.
- Keeps up-to-date client contacts in Clio, as well as detailed client/matter lists.
- Capable of anticipating needs and working forward with limited direction.
General Responsibilities:
- Manages office calendar (daily calls and meetings, court conferences, court submission deadlines, etc.).
- Coordinates travel arrangements.
- Answers phones, transfers calls, and takes detailed messages.
- Copies, scans, prints, and saves documents as needed.
- Files court documents (EDDS, PACER, NYSCEF, etc.).
- Works closely with court clerks and/or court personnel.
- Orders court transcripts as needed.
- Prepares binders, exhibits, and files for trials and other court proceedings.
- Opens, organizes, prepares, and maintains client and office files both in electronic and paper filing systems.
- Performs other related general administrative duties as assigned.
Education and Experience Information:
- Bachelor’s degree.
- Proficiency in Microsoft Office Suite.
- Good communication skills (verbal and written).
- Ability to function effectively in a deadline-oriented work environment.
- Can multitask efficiently and keep track of several open assignments at once.
- Good problem-solving and time management skills.
- Prior law firm experience is a plus but not required.
- Experience in e-filing in both state and federal courts is a plus but not required.
Salary Information:
- Compensation ranges from $65,000 to $75,000 per year.
