Job Title: Legal Practice Assistant
Job Responsibilities:
The Legal Practice Assistant at the law firm is tasked with supporting attorneys and paralegals in the delivery of quality legal services to clients. Key responsibilities include:
- Preparing Documents: Utilize word processing and document management software to prepare and process correspondence, memoranda, and complex legal documents according to practice group requirements. Independently compose and draft routine cover letters and documents, proofread for formatting, spelling, and grammar, and prepare revisions and redlines. Prepare documents for e-filing as required.
- Mail Processing: Review and route incoming mail and faxes, prepare and process outgoing mail and faxes, and arrange for specialized mail or messenger services as needed. Ensure all attachments, exhibits, and enclosures are included.
- Calendar Maintenance: Update and maintain calendars for assigned attorneys, including scheduling meetings, appointments, due dates, and client-related activities.
- File Maintenance: Maintain both paper and electronic files in compliance with internal policies, perform routine filing, retrieve files as needed, and maintain chronological and administrative files for assigned attorneys.
- Timekeeping: Prepare time entries for assigned attorneys and submit them timely. Handle expense reimbursement and disbursement requests, prepare billing letters, and coordinate client billing matters with the Billing Department.
- General Administrative Support: Prepare and process new matter documents, screen phone calls, receive and direct clients and visitors, coordinate travel arrangements, and prepare travel expense reports. Schedule meetings, arrange conference rooms and meals, and communicate effectively with clients and firm personnel. Proactively anticipate the business needs of attorneys, plan ahead, and meet deadlines.
- Additional Responsibilities: May include mentoring new office staff and assisting with piloting new software.
Education and Experience Information:
Candidates for the Legal Practice Assistant position should have:
- A minimum of 4 years of experience as a practice assistant or legal secretary.
- Knowledge of legal terminology, legal documents, and legal processes.
- Accurate typing skills of at least 70 words per minute.
- Strong computer proficiency in MS Office, document management, time entry, e-filing, and database software.
- Excellent written and verbal communication skills, understanding of correct grammar, spelling, and punctuation, and strong proofreading skills.
- Superior organizational skills including filing, calendaring, and proofreading.
- Effective time management skills and the ability to work independently as well as collaboratively in a team.
- Regular predictable attendance is essential.
Salary Information:
In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for the Legal Practice Assistant position in Colorado is between $70,240 and $105,360. Actual compensation will be adjusted based on experience and other job-related factors permitted by law.
