Job Title: Conference Services & Events Assistant
Job Responsibilities:
- Responsible for scheduling, confirming, and executing all in-house meetings and events booked in the law firm's conference center.
- Coordinate with Food Services, Facilities Management, and other departments to ensure seamless provision of space, food, equipment, and other requested services.
- Communicate effectively with internal and external customers via email, in-person, and on the phone.
- Assist with coordinating and monitoring on-site, off-site, and virtual events.
- Establish and maintain effective working relationships with clients, attorneys, business services professionals, and other internal customers.
- Help build relationships with and maintain databases for service providers, including hotels, event venues, restaurants, and florists.
- May be required to assist with conference room setups, including moving chairs, tables, and podiums.
- Demonstrate effective interpersonal, written, and verbal communication skills to facilitate effective work relationships.
- Manage law firm resources responsibly.
- Comply with and understand law firm operations, policies, and procedures.
- Perform other related duties as assigned.
Education and Experience:
- required.
- Minimum of one year of related experience.
Qualifications:
- Knowledge of relevant law firm computer software programs (., Word, Outlook, Excel, PowerPoint, Webex) with the ability to learn new software and operating systems (., EMS, CVENT, Visio).
- Ability to learn and operate basic A/V equipment.
- Ability to maintain a high level of customer service.
- Ability to diffuse difficult situations.
- Ability to exert low to moderate physical effort.
- Demonstrates effective interpersonal and communication skills, both verbally and in writing.
- Demonstrates close attention to detail.
- Ability to handle multiple projects and shifting priorities.
- Ability to handle sensitive matters and maintain confidentiality.
- Ability to organize and prioritize work.
- Ability to work well in a demanding and fast-paced environment.
- Ability to work well independently as well as effectively within a team.
- Ability to occasionally work on weekends and holidays.
- Ability to work evening functions as necessary.
- Flexibility to travel domestically.
- Flexibility to adjust hours and work the hours necessary to meet operating and business needs.
Salary Information:
- The starting base salary for this position is expected to be within the range of $68,000 - $72,000. Actual salary will be determined based on skills, experience, and other job-related factors, consistent with applicable law.
