Job Title: Executive Assistant

Job Responsibilities:
The Executive Assistant will provide senior-level support to two to three Partners and serve as the point person for several other Lawyers, including Counsels and Associates, within the law firm. The role involves a strong emphasis on business development and client impact, administrative support, and teamwork. The key responsibilities are:

- Business Development/Client Impact:
- Proactively support the Partners/Lawyers in their client, practice, and business development activities.
- Maintain and update the current list of contacts and business activities in the CRM/Interaction database.
- Track clients and other contacts, scheduling calls and meetings with them in collaboration with Partners/Lawyers.
- Build relationships with clients and their assistants.
- Execute follow-up calls with clients as requested.
- Schedule client entertainment and assist with local event management.
- Prepare materials for meetings, pitches, and proposals.
- Undertake research to support Partners/Lawyers' business development efforts.

- Administrative Support:
- Assist with billing and collections, liaising with billing coordinators, and managing pro formas.
- Track and enter Partners/Lawyers’ time submissions.
- Manage Partners’ calendars, planning and scheduling internal and external/client meetings.
- Coordinate travel and accommodations based on Partners/Lawyers' preferences.
- Complete and submit expense reports in a timely manner.
- Manage document production and filing, including the storage and disposal of confidential client information.

- Teaming:
- Provide coverage for other assistants who are out of the office.
- Provide training and support to new assistants.
- Participate in team meetings and projects, collaborating to improve processes and elevate overall team performance.

Education and Experience Information:
- A minimum of three years of relevant experience as an executive-level assistant in a law firm, professional services firm, or other corporate environment is required.
- Strong interest and/or industry knowledge and background in Finance, Technology, or Media or relevant legal experience is preferred.
- An undergraduate degree or relevant professional or industry experience is required.

Salary Information:
The position offers a salary range of $100,000 to $130,000.

Additional Requirements:
- The candidate must possess excellent knowledge of Microsoft Outlook, Word, PowerPoint, and Excel, along with experience with CRM systems. Knowledge of Interaction is an advantage.
- The role requires excellent project management and analytical skills.
- Strong presentation and writing skills are necessary.
- The candidate should have strong interpersonal skills and the ability to interact credibly, diplomatically, and effectively with all levels within the firm and with clients.
- The ability to work on-site in the office four days a week with the option to work remotely one day a week is required.
