Job Title: Executive Assistant

Job Responsibilities:
The Executive Assistant at the law firm is responsible for coordinating all activities of their assigned Executive in a fast-paced work environment. Key responsibilities include:

- Coordinating and managing the Executive's complex and ever-changing schedule, including travel, meetings, appointments, and deliverables.
- Receiving, preparing, reviewing, drafting, and handling all incoming and outgoing correspondence, including phone calls, emails, meeting confirmations, verbal and written correspondence, and applicable documents in a professional manner.
- Communicating properly and promptly with firm personnel and external contacts, exhibiting the highest level of customer service.
- Arranging, coordinating, and overseeing all travel needs to ensure optimal time management and timely arrival to all appointments.
- Processing complex expense reports in a timely and accurate manner using the firm's expense reporting software.
- Coordinating firm or client events, including securing venues, contract and budget review, invitations, calendar invites, RSVPs, hotel and restaurant reservations, car service arrangements, processing invoices, and liaising with clients, employees, and suppliers.
- Serving as a professional liaison between the Executive Committee, Partners, Firm Management, and external contacts.
- Demonstrating an exceptional level of judgment, discretion, integrity, and confidentiality.

Additional responsibilities include performing other duties as assigned and providing general support for the firm's ongoing business development interests.

Education and Experience Information:
The Executive Assistant must have a High School Diploma, with an advanced degree preferred. A minimum of five years' experience as an executive assistant supporting the COO, CEO, or President of a professional services organization is required. The candidate must be highly proficient in MS Office, Outlook, and related software, as well as experienced in coordinating complex travel arrangements. Superior project management skills, strong attention to detail, the ability to adapt to constantly shifting and changing priorities, and professional communication skills (both written and oral) are essential. An excellent customer service attitude and flexibility to extend working hours as needed are also important. Accuracy in all duties is a top priority.
