Job Responsibilities:
The Practice Support Team Specialist (Private Wealth Legal Assistant) is tasked with providing comprehensive administrative support to attorneys in the Private Wealth Practice Group at the law firm. The role involves multiple essential duties and responsibilities aimed at ensuring efficient workflow and high-quality service delivery:
- Coordinate Workflow: Manage all workflow for assigned attorneys by delegating specific tasks to other teams. This includes ensuring follow-up and maintaining quality control over delegated tasks.
- Document Preparation: Type, transcribe, revise, and proofread legal documents accurately. The role requires prioritization of assignments and adherence to specific deadlines for various projects.
- Schedule Coordination: Assist in coordinating timekeeper calendars, organize meeting arrangements, make travel bookings, and prepare itineraries to ensure efficient time management.
- Accounting and Administrative Coordination: Handle client billing matters by preparing billing letters and other financial updates as requested. Assist attorneys with tracking and monitoring alternative fee arrangements and matter budgets.
- Client and Matter Processing: Prepare and process new client/matter forms, request conflict checks, and open new files to ensure compliance and smooth workflow.
- Mail Processing: Review and route incoming mail and fax communications. Prepare and process outgoing mail and faxes, arranging for specialized mail or messenger services when required. Ensure all attachments, exhibits, and enclosures are included.
- General Administrative Support: Maintain attorney contacts and track requirements and activities related to Continuing Legal Education (CLE) and memberships.
- Team Collaboration: Demonstrate effective teamwork and communication with team members and all law firm personnel. Actively participate in regular team meetings to discuss current projects and workflow.
- Software Proficiency: Utilize team software effectively to log and manage workflow.
- Private Wealth Law Proficiency: Support the Private Wealth practice group with tasks such as e-filing, calendar coordination, document edits, and pleadings.
- Equipment Operation: Operate office equipment including PCs, printers, phones, copiers, facsimiles, and typewriters. Manage demands from timekeepers while remaining calm under pressure.
- Confidential Conduct: Conduct all business in a confidential manner, maintaining the integrity and privacy of sensitive information.
- Additional Duties: Perform other duties as assigned to contribute to the overall success of the team and firm.
Education and Experience Information:
- High School Diploma or GED is required; a 2-year degree is preferred.
- 3-5 years of legal experience is required, with a strong preference for experience in Private Wealth.
- Preferred experience includes 1-3 years as a high-level executive assistant and managing a busy executive calendar.
- Strong skills in process and information management are preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) and Adobe Acrobat is required.
- Previous transcription experience is preferred.
- Strong communication skills, including grammar, spelling, and proofreading abilities, are essential.
- The ability to provide excellent customer service and demonstrate strong client communication skills is required.
- Strong organizational skills and the ability to work well both independently and within a team are necessary.
- A minimum typing speed of 60 words per minute is required.
