Job Title: Legal Intake Specialist / Receptionist

Job Responsibilities:
The Legal Intake Specialist / Receptionist is responsible for supporting the daily operations of the law firm by performing various clerical tasks. Key responsibilities include:

- Greeting and welcoming guests upon arrival and directing them to the appropriate person or office.
- Answering, screening, and forwarding incoming phone calls.
- Communicating with prospective clients via phone and email to understand their cases.
- Scheduling initial consultation appointments with attorneys for promising potential clients.
- Providing basic and accurate information in-person and via phone/email regarding client cases.
- Onboarding new clients by completing necessary paperwork and assembling initial case files.
- Engaging in daily role-play exercises to enhance sales and closing skills for scheduling consultations.
- Attending mandatory daily sales meetings at 8:30 .
- Reviewing and working towards daily, weekly, and monthly intake team goals.
- Ensuring the reception area is tidy and presentable, with necessary stationery and materials.
- Receiving, sorting, and distributing daily mail/deliveries.
- Maintaining office security by following safety procedures and controlling access via the reception desk.
- Ordering front office supplies and managing inventory.
- Updating calendars and scheduling meetings.
- Keeping updated records of office expenses and costs.
- Performing other clerical duties such as filing, photocopying, transcribing, and faxing.
- Assisting attorneys with general office duties.
- Performing other duties as assigned.

Education and Experience:
- High School Diploma or GED is preferred.
- Minimum of 1 year of customer service experience is preferred.

Competencies:
- Proficiency in MS Office Suite and Google Drive Suite.
- Experience with office equipment such as computers and printers.
- Professional attitude and appearance.
- Strong written and verbal communication skills.
- Resourcefulness and proactivity in addressing issues.
- Excellent organizational skills.
- Strong phone, sales, and customer service skills.
- Ability to handle multiple projects and tasks.
- Willingness to learn and improve professionally.

Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to occasionally lift up to 25 lbs.

Salary Information:
- Pay starts from $35, per year.
- Additional pay opportunities include earning commissions for scheduling consultations with qualified leads.
