Office Services Clerk
Job Responsibilities:
The Office Services Clerk is responsible for providing a variety of administrative and office services support within the Salt Lake City office of a law firm. Key duties include:
- Processing daily mail with scheduled pickups and deliveries, maintaining and supplying the postage meter.
- Operating photocopy machines for large copying and scanning projects.
- Ensuring daily maintenance of paper levels in copiers and printers.
- Preparing legal records for electronic scanning by taping loose sheets, removing staples, and verifying consistent client information. Performing document imaging (scanning) and quality control/validation for legal documents.
- Maintaining inventory and organization of office and kitchen supplies.
- Providing client services and receptionist coverage as needed, including backup during breaks.
- Opening and closing files in FileTrail, preparing labels, and preparing files for off-site storage including content description reports. Coordinating delivery and retrieval of files from off-site storage vendors.
- Assisting with annual document destruction and shredding files as necessary.
- Assisting with setting up and breaking down conference rooms, as needed.
- Assisting with outside deliveries as needed.
- Occasionally ascending/descending a ladder to access records files.
- Performing other duties as requested.
Education and Experience Information:
- A is required.
- Prior reception and/or general office experience is necessary.
- Preferred experience includes prior mailroom experience and knowledge of office equipment such as photocopiers and scanners.
- Good knowledge of MS Office software applications is also preferred.
